About the role
The Service Officer will work directly with Chilton Client and Wealth Advisors to deliver exceptional client service and operational support to Chilton clients in a timely and proactive manner. This role serves as the primary point of contact for day-to-day client servicing needs.
Responsibilities
- Work closely with Client and Wealth Advisors to service clients, including money movement, asset transfers, distributions and reconciliations, client onboarding procedures, account opening procedures (IPS, IMA, Custody opening paperwork), KYC/AML procedures, account terminations, external manager custodial setup and maintenance.
- Work with Operations, Reporting, Legal, and the Investment teams to ensure proper execution of daily client transactions and disbursements, cash management, account funding, subscriptions, and redemptions.
- Work closely with preferred custodians and other third-party vendors to manage day-to-day client transactions, onboarding, and execute other client service tasks.
- Prepare reporting documents for client meetings, including retrieving account balance information, tax statements, performance reports, and portfolio holdings.
- Manage and execute the sending of hard-paper copy statements to specific clients on a periodic basis.
- Help maintain CRM tool with updated client data, pipeline, marketing, reminders/notifications, and client communication.
- Assist with daily account administration review of client statements, including obtaining third-party manager performance and holdings reports, addressing accounting issues, and managing client files.
- Provide support for annual account reviews and various audit requests.
Requirements
- Bachelor’s degree in Finance or Economics preferred with a minimum of 3 years in a Wealth Management client servicing role at a financial institution.
- Experience supporting financial advisors and high-net-worth clients.
- Understanding of account opening, money movement, and client documentation processes.
- Excellent time management skills with proven ability to work in a fast-paced environment requiring multi-tasking and prioritizing.
- Exceptional client service and relationship management skills.
- Experience using a Wealth Management CRM tool, preferably Salesforce or WealthHub.
- Proficiency in Microsoft Office.
- Understanding of custodial platforms preferred (e.g., Pershing, Schwab, Fidelity).
- Ability to use discretion with client-sensitive data and information.
- Strong written and verbal communication skills, detail-oriented.
- APX, Addepar, and/or NetX system experience preferred.
- Desire to work within a team-based environment.
- Analytical and ability to problem-solve using critical thinking skills.
- Motivated, detail-oriented, passionate about working in wealth management.
