Client Intake Specialist
Key Responsibilities
- Develops and applies a general understanding of legal conflict of interest principles.
- Applies quality assurance review of conflicts and client/matter information and ensures high levels of accuracy and completeness of information and adherence to Firm guidelines and procedures.
- Utilizes software and workflow platform to process client and matter intake information.
- Processes conflict requests for clients and matters.
- Processes changes and updates for client and matter files, which includes certain key information related to contact information and billing rates.
- Documents, updates, and communicates procedures, known issues, or workarounds to users as well as provides general user support for the intake and conflict request tools.
- Escalates actual or potential issues to the appropriate individual(s).
Knowledge, Skills And Abilities Required
- Must display excellent customer service.
- Must possess strong collaboration skills to successfully work in a team environment.
- Demonstrated knowledge of Microsoft Office Suite.
- Familiarity with Aderant and Intapp or similar computerized accounting and client intake software.
- Must be able to handle critical duties on fast-paced days and keep longer term responsibilities on target, all with minimal supervision.
- Must possess a high level of professionalism and interpersonal skills so as to be able to work well with attorneys and employees at all levels within the organization and maintain all information in the strictest of confidence.
- Must have ability to read, write and communicate fluent English; ability to compose documents in the appropriate business style using correct grammar and spelling; ability to communicate clearly using proper grammar and diction over the telephone.
- Must possess excellent attention to detail, ability to balance multiple projects and have strong time management skills.
- Must possess critical thinking and problem solving skills.
- Must have ability to reason and apply common-sense understanding to situations encountered.
- Able to process routine daily functions while being able to resolve sensitive issues and complex assignments utilizing above average critical thinking skills.
- Must have ability to collect information through communication, questioning and interviewing techniques.
- Able to work overtime as needed.
Qualifications
- Associate degree or higher preferred.
- Minimum one year prior experience scrubbing, mining or analyzing data required.
- Prior experience in the legal services industry required.
- Prior client intake and conflicts experience in the legal services industry strongly preferred.
Compensation
- The expected salary range for applicants that meet the experience requirements for the role and are physically based in Chicago, IL is $58,000 - $68,000 annually upon commencement of employment.
- Starting salary will be determined on an individualized basis with consideration to prior experience and additional qualifications.
- This is in addition to a comprehensive benefit package offered by the Firm.

Under the guidance of the Client Intake Manager, this position will process client and matter intake requests, perform quality review checks, and apply a general understanding of legal conflict of interest principles.
It will also provide guidance to attorneys, legal administrative assistants, and other support staff regarding the conflicts and client/matter intake processes.
This non-exempt position is eligible for a hybrid-remote work schedule after an initial training period.
