Client Intake Specialist
About the role
Thompson Coburn, a large full-service law firm with offices in eight cities across the U.S., is seeking a full-time non-exempt Client Intake Specialist to join one of its offices in Dallas, Chicago, St. Louis, or Washington D.C. This position supports over 450 attorneys across 50 areas of law in a welcoming, fast-paced, and inclusive environment. Under the guidance of the Client Intake Manager, you will process client and matter intake requests, perform quality review checks, and apply a general understanding of legal conflict of interest principles. This role provides guidance to attorneys, legal administrative assistants, and other support staff regarding conflicts and client/matter intake processes. After an initial training period, this non-exempt position is eligible for a hybrid-remote work schedule.
Responsibilities
- Develop and apply a general understanding of legal conflict of interest principles.
- Perform quality assurance review of conflicts and client/matter information to ensure accuracy, completeness, and adherence to firm guidelines and procedures.
- Utilize software and workflow platforms to process client and matter intake information.
- Process conflict requests for clients and matters.
- Process changes and updates for client and matter files, including key information related to contact details and billing rates.
- Document, update, and communicate procedures, known issues, or workarounds to users, and provide general user support for intake and conflict request tools.
- Escalate actual or potential issues to the appropriate individuals.
- Work overtime as needed.
Requirements
- Excellent customer service and strong collaboration skills to work effectively in a team environment.
- Demonstrated knowledge of Microsoft Office Suite.
- Familiarity with Aderant, Intapp, or similar computerized accounting and client intake software.
- Ability to handle critical duties on fast-paced days while keeping longer-term responsibilities on target with minimal supervision.
- High level of professionalism and interpersonal skills to work well with attorneys and employees at all levels while maintaining confidentiality.
- Tact and diplomacy in dealing with others.
- Fluent in English with strong written and verbal communication skills, including the ability to compose professional documents using correct grammar and spelling.
- Excellent attention to detail, ability to balance multiple projects, and strong time management skills.
- Critical thinking and problem-solving skills, with the ability to apply common-sense understanding to encountered situations.
- Ability to process routine daily functions while resolving sensitive issues and complex assignments using above-average critical thinking skills.
- Ability to collect information through communication, questioning, and interviewing techniques.
Qualifications
- Associate degree or higher preferred.
- Minimum one year of prior experience scrubbing, mining, or analyzing data required.
- Prior experience in the legal services industry required.
- Prior client intake and conflicts experience in the legal services industry strongly preferred.
