Claims Coordinator

About the role

Understands the claims flow process including Water Mitigation, Reconstruction, Contents, and Environmental work. Manages data entry from First Notice of Loss through job completion in the CRM system. Reviews compliance and job tasks for timely completion. Monitors and updates jobs in the required operating system to ensure efficient claim processing and adherence to cycle times. Ensures accurate uploading of photos and documents, and follows up for missing homeowner and insurance/mortgage information.

Responsibilities

  • Creates and assists with job estimates, ensuring completeness according to company standards.
  • Manages customer service issues and complaints, documenting actions and resolutions.
  • Ensures daily notes are recorded in all jobs, contacting relevant parties and escalating issues as necessary.
  • Makes or assists with job estimates, and reviews final estimates to meet company standards.
  • Performs client care calls, maintaining frequent, often daily, communication with customers and adjusting as needed.
  • Manages Xactimate experience, proficiently using version 28, and Microsoft Office applications (Word, Outlook, PowerPoint, Excel).
  • Handles personal time management and organizational tasks, demonstrating strong communication skills, both verbal and written.
  • Adapts to a fast-paced work environment, managing confidential information securely, and solving problems effectively.
  • Uses CRM software (Workday, etc.) and financial software (Quickbooks, etc.) as needed.
  • May lift up to 20 pounds occasionally, sit for extended periods, and perform repetitive hand and finger movements.
  • Exhibits close visual acuity and adaptability to various indoor environments, including those with temperature changes.
  • Communicates effectively and resolves conflicts in customer interactions.

Requirements

  • A high school diploma or GED is required.
  • A bachelor’s degree or relevant experience is preferred, but work experience is considered.
  • IICRC certifications (WTR, ASD, OCT, STC) are preferred but not mandatory.
  • Exceptional customer service skills are essential.
  • One to three years of Xactimate experience is required, with proficiency in Xactimate 28.
  • Experience with Microsoft Office applications (Word, Outlook, PowerPoint, Excel) is required.
  • Strong personal time management and organizational skills are necessary.
  • Effective verbal and written communication skills are crucial.
  • The ability to adapt to a fast-paced work environment is important.
  • The ability to handle confidential information securely is required.
  • Strong problem-solving skills are beneficial.
  • Proficiency in Microsoft Office, Outlook, and CRM software is advantageous.
  • Experience with customer interaction and conflict resolution is desirable.
  • Experience with CRM software (Workday, etc.) is helpful.
  • Experience with financial software (Quickbooks, etc.) is a plus.

Qualifications
