About the role
The CHB Documentation Coordinator coordinates documents for entries, scanning, and filing within an assigned import team or office. May pre-key files with mandatory audits prior to transmission.
Responsibilities
- Receive and upload all necessary documentation related to CHB Customs Entries (bills of lading, commercial invoices, packing lists, and arrival notices).
- Ensure that all documentation complies with 19 CFR 142.6 Invoice Requirements, including adequate description of merchandise, quantities, values, and manufacturers.
- Coordinate with internal and external stakeholders (e.g., clients and forwarders) to gather information and ensure documentation accuracy and completeness.
- Maintain document management systems, including organizing, categorizing, version control, and secure storage of documents.
- Provide support and guidance to clients to obtain appropriate documentation required for entry.
- Gather all relevant documentation in a timely manner to ensure efficient entry clearance.
- Accurately open entry files, track, monitor, and update the status of inbound shipments.
- Print and coordinate entry documentation, track and trace inbound shipments.
- Upload entry packets and documentation into the operating system.
- Pre-key entries as per outlined KPIs with mandatory audit.
- Perform clerical office tasks as assigned.
Requirements
- High School Diploma or equivalent required; Associate or Bachelor’s Degree in a related field preferred.
- Strong organizational skills.
- Computer literacy and data entry accuracy.
Pay
Anticipated starting salary range: $45,000 – $50,000. The final starting salary may be adjusted based on prevailing market conditions, location, and other factors.
