Centralized Scheduling Rep Role

About the role
The Centralized Scheduling Representative is often the first point of contact for our patients and therefore must represent BJC with the highest standard of customer service, compassion and perform all duties in a manner consistent with our mission, vision, values, and BJC service standards. This role facilitates all components of the patients' entrance into any BJC facility, requiring a high level of emotional intelligence, professionalism, and the ability to make a personal connection. The position highly impacts reimbursement levels and denial prevention through accurate collection of demographics, insurance information, benefit verification, and point-of-service collection.
This is a safety-sensitive position requiring the ability to work in a constant state of alertness and in a safe manner.

Responsibilities
- Utilize critical thinking skills to assess and respond to a variety of situations, anticipating patients' needs and ensuring accurate patient records and scheduled services.
- Communicate professionally and positively with patients, families, provider offices, and co-workers by phone to ensure a positive patient experience and maintain the integrity of clinical and financial records.
- Perform hospital pre-registration and scheduling within multiple BJC systems and across multiple hospitals, including validation of patient demographics and insurance verification.
- Schedule tests according to orders in a fast-paced environment, providing patients with preparation instructions for each procedure.
- Coordinate appointment scheduling to best meet patient and department needs.
- Understand, articulate, and enforce hospital compliance with Medicare Secondary Payer (MSP) and HIPAA Privacy Standards.
- Handle patient information and scheduling for outpatient radiology tests such as MRIs, CT scans, and mammograms.
Requirements
- High School Diploma or GED (required).
- Customer service experience, familiarity with EPIC, patient registration, call center experience, or patient scheduling (preferred).
- Associate's Degree (preferred).
- Certified Healthcare Access Associate (CHAA) certification (preferred).
- Exceptional attention to detail and ability to work independently.
- Knowledge of insurance carriers, Medicare guidelines, and federal, state, and accreditation agencies.
Schedule
- Remote hours: Monday–Friday, 9:00 AM–5:30 PM (including a 30-minute lunch).
- On-site training: 20 weeks at BJC at the Commons, 8:00 AM–4:30 PM (including a 30-minute lunch).
- Saturday rotation every 12 weeks from 8:00 AM–12:00 PM.
