Legends is the official hospitality partner of Raymond James Stadium, home to the Tampa Bay Buccaneers and a premier venue for large stadium events. The partnership includes overseeing the food and beverage program for concessions, suites, and premium areas during game days, concerts, and special events, as well as related activations for the iconic Pirate Ship.
About the Role
The Catering Administrator provides administrative and organizational support to the Catering Department to ensure successful execution of game days, concerts, and special events. This role serves as a central point of communication between catering managers, operations teams, and other departments while maintaining accurate event documentation, inventory records, scheduling support, and onboarding coordination. The Catering Administrator reports directly to the Catering Managers.
Responsibilities
- Provide administrative support for the day-to-day operations of the Catering Department.
- Prepare, update, and distribute Banquet Event Orders (BEOs) and event packets for all catering events.
- Coordinate and place boxed lunch, linen, and other departmental supply orders.
- Maintain accurate digital inventory records, including post-event inventory entry and reconciliation.
- Assist with end-of-month inventory counts, reporting, and documentation.
- Process purchase requests, invoices, and department paperwork while maintaining organized records.
- Maintain catering event calendars, schedules, and departmental files.
- Assist Catering Managers with event preparation, including event diagrams, staffing documents, and operational packets.
- Coordinate onboarding paperwork for new catering employees, issue uniforms, and schedule orientation and training.
- Communicate event updates, schedule changes, and operational information to internal departments.
- Assist with receiving and verifying warehouse deliveries and maintaining inventory records.
- Maintain organization and cleanliness of the catering office and administrative storage areas.
- Support catering managers during game days and special events by responding to operational and administrative needs.
- Assist with special projects and other duties as assigned based on business needs.
Requirements
- Previous administrative experience in hospitality, catering, food and beverage, sports, or event management preferred.
- Experience working in a fast-paced hospitality or event environment is preferred.
- Strong organizational, time management, and multitasking skills with exceptional attention to detail.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook); experience with catering or event management software is a plus.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to manage multiple priorities while meeting deadlines.
- Strong customer service mindset with a positive, team-first attitude.
- Ability to work collaboratively with multiple departments and support operational teams.
- Must be available to work flexible hours, including evenings, weekends, holidays, and all Tampa Bay Buccaneers home games and major stadium events.
- Ability to lift up to 25 pounds and perform occasional standing, walking, bending, and reaching as needed.
- Follow and promote all company safety policies and procedures, including completion of required safety training.
