About the Role

This position supports the OHARNG Medical Case Management Services (Solicitation W91364-26-Q-A024) as a Case Manager, including Mobilization Support (8 Positions). KSA Integration LLC provides non-clinical medical case management support to sustain Individual Medical Readiness for approximately 9,549 Ohio Army National Guard Soldiers across six brigades, working in the Army systems of record (MEDPROS, MODS, eCase, MEDCHART, and the Health Readiness Record). Case Managers are the core of the team, managing a caseload of Soldiers to keep their medical readiness current by processing medical data, scheduling and tracking appointments, and ensuring no readiness data is lost. Case Managers also support mobilizing units to compress time-to-readiness before deployment.

This position is contingent upon contract award and is covered under the Service Contract Act (SCA) as labor category SCA 24550, Case Manager (Wage Determination 2015-4729 for Franklin County, Ohio).

Responsibilities

  • Process all medical data in compliance with HIPAA; maintain active daily use of MEDPROS, MODS, eCase, MEDCHART, and the Health Readiness Record (HRR).
  • Run recurring cross-system reconciliation to identify and resolve mismatches, flagging cases that cannot be reconciled.
  • Obtain, process, and maintain Release of Information requests, including 30-day provider follow-ups.
  • Track, schedule, and manage Soldier medical and dental appointments to closure, including confirming, reminding, recovering no-shows, capturing results, and updating systems of record.
  • Conduct medical pre-screens and process initial documentation for mobilizing Soldiers during Soldier Readiness Processing (SRP) events.
  • Deliver compliance tracking updates to Battalion, Brigade, and State Surgeon's Office personnel.
  • Prepare case status reports for bi-monthly case reviews and feed the monthly metrics report.
  • For mobilizing units: track Soldiers before and after mobilization and prioritize actions that gate deployability.

Requirements

  • One or more years of case management, care coordination, medical records, or military medical readiness experience.
  • Ability to manage a high-volume caseload and drive items to closure without reminders.
  • Comfort working directly with Soldiers, unit leaders, and medical providers by phone and email.
  • U.S. citizenship and ability to obtain and keep a Common Access Card (CAC), including a favorably adjudicated Tier 1 (or higher) background investigation.
  • Ability to complete all required Government training within phase-in timelines, including JKO modules (DHA-US298 Medical Readiness Portal, DHA-US299 Administrative Portal, DHA-US001 HIPAA), AT Level 1, OPSEC Level 1, PII, CUI, iWATCH, TARP, MHS Genesis, and Combating Trafficking in Persons.
  • Ability to handle Protected Health Information (PHI) and Personally Identifiable Information (PII) correctly under HIPAA and the Privacy Act.
  • Strong attention to detail, accurate data entry, and clear written and spoken communication.
  • Proficiency with Microsoft Office and the ability to learn Army medical readiness systems quickly.

Preferred Skills

  • Experience in MEDPROS, MODS, eCase, MEDCHART, or HRR.
  • Prior military service, National Guard service, or military family background.
  • Call center, scheduling, or high-volume coordination experience.

Schedule

  • Core duty hours: 0730–1630 Eastern, Monday through Friday.
  • No services on federal holidays or facility closures.
  • Surge support required during Soldier Readiness Processing (SRP) events (approximately 40 per year, historically 200–320 Soldiers per event day).

Location

On-site at Defense Supply Center Columbus (DSCC), Medical Detachment, Building 11, Section 11, 401 North Yearling Road, Columbus, OH 43213. Office environment on a secure Government installation with extended periods at a computer working across multiple data systems. High-volume, deadline-driven work during SRP events.

Reports to: Lead Case Manager.

Anticipated start date: September 2026 (contingent upon contract award).
