Job Summary

Under the assigned supervisor, Case Aides are responsible for assisting Intensive Placement Stabilization (IPS) case managers and clinicians in the preparation and maintenance of client case files to ensure they receive the comprehensive care outlined by the IPS case manager and Clinician team. The role of Case Aides extends from supporting IPS Case Managers and IPS Therapists with a variety of administrative tasks. They collaborate with Intensive Placement Stabilization (IPS) case managers and clinicians to ensure that their client’s digital tracking, files, and paperwork are aligned and meet expectations per the Department of Children and Family Services (DCFS) contractual obligations.

Responsibilities

  • Reports to the Child Abuse Hotline as directed by the Mandated Reporter Act
  • Provides exceptional customer service to parents, foster caregivers, referring case agencies, and other team members
  • Conducts frequent regional and all-state in-person and virtual team meetings with staff, referring case agency and community partners
  • Participates in frequent agency management meetings and work groups
  • Maintains discretion, as they are entrusted with a client’s personal information and knowledge of their unique situation. This confidentiality extends to ensuring client data is secure
  • Reports any exposure to communicable diseases
  • Sets up expense vouchers, renewed driver's licenses, and automobile insurance coverage on the due date
  • Supports the creation and maintenance of programmatic information in Microsoft Teams and on the SharePoint site
  • Aids in updating client demographic and other data in the IPS database
  • Ensures weekly filing of all IPS, Mentoring, and FPSS documents in client files
  • Directs paperwork to client files and archives files according to predetermined storage procedure with AOA and direct supervisor
  • Creates client files and paperwork packets to be used for client meetings by IPS case managers and clinicians

Qualifications

  • Education: GED High School diploma preferred
  • Experience: One year administrative assistant experience with Excellent written and verbal communication skills. Proficient in all Microsoft, Excel, and Adobe Office applications or equivalent combination of education or experience, preferred.

Other Requirements

  • Reliable transportation, valid driver’s license, and acceptable driving record with OHU required levels of coverage for auto insurance
  • Parenting training are appreciated but not required

Skills

  • Proficient computer skills in a Microsoft Windows environment and adaptive skills to expand software application skills, as necessary
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
  • Ability to write routine reports and verbally communicate in a clear manner
  • Ability to speak effectively before groups or individuals
  • Ability to exercise discretion and ensure confidentiality
  • Excellent written and oral communication, with the ability to document in a clear, concise manner
  • Highly organized, yet flexible and can handle multiple projects and or priorities well with the ability to manage tight deadlines
  • Intermediate data entry skills
  • Positive attitude concerning all aspects of working in a challenging environment (including significant patience and respect for children and families who can become quite angry and demanding), sensitivity to cultural needs, and ability to serve as a positive member of a working team
  • Resourcefulness in researching issues, analyzing information skillfully, solving problems, and developing solutions with minimal supervision in a timely manner

Physical Demands & Work Environment

  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
  • The position requires visual and auditory acuity within professionally determined normal ranges, with correction if needed; and manual dexterity sufficient to operate a computer and office equipment, including, but not limited to, the telephone, computer, and copier.
  • The employee is occasionally required to move items up to 50 pounds.
  • The employee works in varied residential environments based on an assigned caseload and may encounter unpredictable clients.
  • While performing the duties of this position, the employee travels by automobile and is exposed to changing weather conditions.
  • The employee must be able to enter and exit a vehicle or a building without assistance.
  • While performing the duties of this job, the employee may frequently drive an automobile, taking clients to appointments, in the local and regional areas.
  • Occasionally, travel is outside the local area and overnight.
