Caregiver Manager

About the role

TheKey helps clients achieve successful long-term aging at home with comprehensive, concierge-based care. As part of our team, you’ll receive training, resources, and support to deliver an exceptional care experience for clients and their families. This role involves supervising caregivers, ensuring high-quality care, and maintaining compliance with organizational and regulatory standards.

Responsibilities

• Train and supervise caregivers, providing guidance, mentorship, and support to ensure compassionate and effective care.
• Provide supervision, including coaching, counseling, and corrective action, to prepare caregivers for assigned duties.
• Conduct performance evaluations, offer feedback, and implement development plans to enhance caregiver skills.
• Match caregivers with clients based on client needs, caregiver skills, experience, and availability.
• Develop and manage caregiver schedules, ensuring adequate coverage and responding to changes or emergencies.
• Coordinate with administrative staff to facilitate seamless communication and workflow between caregivers and the office.
• Conduct regular assessments of care services to ensure compliance with organizational standards and state regulations.
• Implement quality improvement initiatives based on feedback and evaluation results.
• Support ongoing training for caregivers to enhance their skills and ensure licensing and compliance are up to date.
• Serve as the point of contact for caregivers regarding benefits, payroll, and corporate human resources.
• Maintain accurate records of caregiver profiles, timekeeping, and availability.
• Enter and update client and caregiver scheduling information in appropriate systems.
• Review caregiver payroll, including timekeeping, time off requests, and approve for payroll processing.
• Schedule client visits according to care plans and staff availability.
• Document and report client concerns, identify trends, and suggest improvements for caregiver effectiveness.
• Educate caregivers on the importance of accuracy in schedules, rates, personnel, and care notes to meet payroll and billing deadlines.
• Meet caregiver retention guidelines and develop retention improvement plans.
• Support workers' compensation claims from start to finish, ensuring timely and accurate processing.
• Work closely with the Workers' Compensation team to ensure compliance with all relevant laws and regulations.
• Comply with health and safety regulations to maintain a secure workplace.
• Provide on-call and after-hours support as needed.
• Perform additional duties as assigned.

Requirements

• Bachelor’s degree in a related field or equivalent experience.
• Two (2) years of experience in health care, elder care, social work, or a related industry.
• One (1) year of scheduling experience in a health care or human services setting using an online scheduling system (preferred).
• Ability to multi-task, work under pressure, handle changing priorities, and meet deadlines.
• Effective oral and written communication skills with clinical and non-clinical personnel.
• Computer proficiency and ability to document timely and accurate notes in the system.

Physical Requirements

• Ability to travel up to 10% of the time.
• Ability to lift and carry up to 15-20 pounds.
• Ability to sit, stand, and walk for prolonged periods throughout the workday.
• Ability to use standard office equipment.
