Care Team Manager

About the role

Beacon is a national private-equity backed behavioral health company providing residential-based services and supports to individuals with Intellectual and Developmental Disabilities, Severe Mental Illness, Autism, and high-acuity behaviors. This position operates in compliance with company policies, accreditation standards, state and federal licensing requirements, HCBS guidelines, and contractual requirements.

Responsibilities/Essential Functions

  • Operate assigned home(s) in a manner that meets or exceeds company goals, including budgetary and clinical effectiveness.
  • Support and supervise assigned Direct Support Professionals (DSPs), ensuring they have the necessary training and skills.
  • Maintain assigned home(s) and ensure good working order of all related systems, facilities, and furnishings.
  • Assign repairs and maintenance duties to staff when possible. Contact the Beacon maintenance department or direct supervisor for facility maintenance issues.
  • Assist direct supervisor with contracting for approved services and evaluating contractor performance.
  • Communicate daily with direct supervisor and manage on-call responsibilities.
  • Prepare and manage monthly home meetings and ensure the meeting room is prepared and staffed.
  • Build positive relationships with referral sources, government and licensing agencies, and assist in coordinating admissions for individuals served.
  • Collaborate with Beacon leadership and various functional areas to improve operations, compliance, residential care, and employee performance.
  • Perform other duties as assigned or established by the company.

Regulatory, Contractual, And Accreditation Compliance Responsibilities

  • Contact direct supervisor if someone from a regulatory agency, adult protective services, an investigating body, or police arrives at the home.
  • Complete incident reports in the company electronic system and send a copy to the direct supervisor for approval.
  • Avoid non-compliance with employee training and certifications to meet licensing standards, recipient rights, and accrediting bodies.
  • Communicate openly and as a respected and reliable partner with state and local regulators.

Census And Budget Responsibilities

  • Manage assigned home(s) payroll costs through effective recruitment/hiring and staff retention.
  • Manage the home budget, petty cash fund, and individual funds in accordance with company policies.
  • Ensure all financial reporting (payroll, petty cash, individual funds, billing, etc.) is timely and accurate.
  • Monitor and correct trends that impact costs such as "no shows," terminations, and overtime.

Staffing And Human Resources Responsibilities

  • Keep direct supervisor informed of staffing changes or shortages.
  • Maintain employee scheduling and time worked to annual budget.
  • Oversee all residential care related functions at assigned house or program.
  • Complete/on-site training for direct support professionals and develop teams that support each other.
  • Notify employees of scheduled classes and provide dates, times, and locations.
  • Conduct annual performance reviews and provide feedback to direct support professionals.
  • Integrate new employees into the team and provide check-in discussions with direct reports on a monthly basis.

Clinical And Individuals Served Care Responsibilities

  • Collaborate with direct supervisor and clinical team to ensure proper clinical actions are taken.
  • Oversee Individuals' activities and programs, identifying ways to improve their social, emotional, mental, and physical needs.
  • Communicate regularly with internal and external clinical, medical, and regulatory agencies as required.
  • Ensure DSPs regularly assist Individuals in skill building and community activities.
  • Apply trauma-informed care principles and promote them throughout the organization.

Quality Assurance, Monitoring And Reporting Responsibilities

  • Oversee all administrative, clerical record-keeping, clinical record-keeping, medication administration, transportation, and coordination of care duties at assigned home site(s).
  • Complete/conduct Fire and Emergency drills as required.
  • Submit accurate daily entries in the electronic health records (EHR).
  • Routinely monitor physician-directed meal plans, kitchen sanitation, meal quality, the quality and appearance of service and staff, cleanliness of space, and Individual satisfaction.
  • Ensure tasks on the daily reminder list are completed timely and inform the direct supervisor of any deficiencies.
  • Respond promptly and appropriately to work injuries within 24 hours.
  • Conduct random home and vehicle inspections and correct any violations of company policy as soon as possible.
  • Conduct random Individual(s) audit reviews and communicate findings to your direct supervisor, and clinical and operations’ leadership.
  • Maintain confidentiality of medical records, proprietary and other confidential information relating to Beacon Specialized Living Services, Inc., its individuals served, Team Members, activities, and affiliates, in accordance with all applicable laws (especially HIPAA (Health Insurance Portability & Accountability Act)) and contract terms.

Education & Qualifications

A minimum of 2 years of combined experience in residential care, direct support, or related field is required. A bachelor’s degree in a relevant field is preferred.
