CANCER PROGRAM COORDINATOR

About the role

The cancer program coordinator is expected to support the clinical and administrative oncology teams and work collaboratively with the Director of Oncology Services to develop, organize, implement and monitor the accreditation activities of CalvertHealth and the affiliation activities with Duke Cancer Network. The role involves managing multiple concurrent, collaborative initiatives and facilitating work groups.

Education

  • Bachelor’s Degree in Nursing, Healthcare Administration, Public Health, or a related discipline required
  • Master’s degree preferred

Registration/Certification/Licensure

Position requires maintaining unit-specific and hospital competencies, mandatory learning, and any clinical certifications as outlined in the Staff Education and Training policy GA-057 and/or other department requirements.

Experience

  • Minimum of 5 years of leadership and project management experience
  • Experience managing multiple projects and working with diverse groups
  • High degree of organizational and communication skills
  • Skillful at managing change, delegating effectively, prioritizing, negotiating project demands, and seeking alternative solutions

Responsibilities

  • Assist Director of Oncology Services with administrative tasks, including maintaining calendars, schedules, and appointments
  • Prepare, update, amend, and maintain accreditation, regulatory, and compliance documentation
  • Initiate and demonstrate strong and effective verbal and written communication skills
  • Exercise emotional intelligence, effective problem-solving techniques, and conflict resolution
  • Coordinate meetings, conferences, events, and travel arrangements
  • Prepare, distribute, and maintain agendas, meeting materials, and minutes
  • Organize and maintain electronic and paper filing systems
  • Ensure administrative requirements and processes are standardized and efficient
  • Serve as a primary point of contact for internal and external stakeholders
  • Draft professional communications, memos, and reports
  • Initiate, facilitate, and document communication between teams, departments, leadership, and affiliates
  • Maintain professionalism and confidentiality in all interactions
  • Track and document project timelines and deliverables
  • Coordinate committee work, quality projects, and oncology special projects
  • Support policy and procedure development and revisions
  • Effectively communicate with all patient populations and staff by implementing organization-wide communication techniques
  • Advocate for quality patient safety and satisfaction as a daily practice

Skills

  • Demonstrated proficiency in Microsoft Office applications with emphasis on Excel, Access, Word, and Outlook
  • Ability to work independently, prioritize concurrent projects, meet deadlines, follow through with deliverables, and produce quality work
