Call Center Coordinator - Human Resources Center - 2026-2027
Position Summary
The Human Resources Call Center Coordinator is responsible for coordinating districtwide substitute staffing while providing comprehensive administrative and operational support for Human Resources. This position serves as the primary coordinator for substitute services, ensuring schools are appropriately staffed each day while supporting employment processes, leave administration, onboarding, payroll, and HR information systems. The Human Resources Call Center Coordinator works collaboratively with district administrators, school staff, substitutes, and Human Resources personnel to deliver responsive, efficient, and customer-focused services.
Essential Duties And Responsibilities
- Serves as the primary administrative assistant to the Director of Human Resources providing high-level administrative support, coordinating schedules and meetings, preparing reports and correspondence, maintaining confidential records, and assisting with Human Resources initiatives and special projects.
- Cover daily substitute coverage for certified and support staff, including short-term and long-term assignments.
- Serve as the primary point of contact for substitute staffing needs.
- Manage and maintain the district substitute employee pool.
- Communicate with administrators, employees, and substitute staff regarding substitute assignments and staffing needs.
- Utilize the district's online Absence Management system to coordinate substitute placement and resolve scheduling issues.
- Cook substitute orientation and onboarding.
- Organize and maintain substitute training materials and resources.
- Oversee required online substitute training.
- Prepare Board of Education agenda items related to employment recommendations.
- Develop and distribute pre-employment correspondence for candidates.
- Process employee forms, including leave requests and employment documentation.
- Cook communications, documentation, and tracking related to the Family and Medical Leave Act (FMLA).

- Assist with new employee orientation and prepare onboarding materials.
- Provide professional customer service and front office support to employees, applicants, administrators, and community members.
- Answer and direct telephone inquiries while serving as a resource for HR-related questions.
- Complete E-Verify employment verification requirements.
- Prepare substitute payroll accurately and timely.
- Enter and maintain employee records within the BusinessPlus payroll system.
- Serve as the Human Resources BusinessPlus backup.
- Maintain accurate employee and substitute records while ensuring confidentiality.
- Aid with HR reporting and data management.
- Perform other duties as assigned.
Organizational Relationships
Reports directly to the Chief Human Resources Officer and Director of Human Resources.
Desired Qualifications
- Minimum of two years of administrative support experience required; human resources or school district experience preferred.
- Proficiency with Google Workspace (Docs, Sheets, Forms) and Microsoft Office Suite (Word, Excel, Outlook).
- Demonstrated ability to maintain confidential information and exercise sound judgment.
- Strong attention to detail and organizational skills.
Knowledge, Skills, And Abilities
- Knowledge of office administration practices and human resources procedures.
- Knowledge of records management, data entry practices, and document retention requirements.
- Knowledge of applicable employment laws, district policies, and confidentiality requirements related to personnel records.
- Ability to maintain strict confidentiality and handle sensitive information with discretion and professionalism.
- Ability to organize, prioritize, and complete multiple assignments while meeting established deadlines.
- Ability to analyze data, prepare reports, and ensure the accuracy of employee information.
- Strong written, verbal, and interpersonal communication skills.
- Proficient in HR information systems, electronic filing systems, and database management.
- Strong customer service skills and the ability to work effectively with employees, administrators, applicants, and the public.
- Ability to work independently, exercise sound judgment, and collaborate effectively as a member of the Human Resources team.

Pay Structure
Pay Grade A85: $18.99 - $31.98 per hour
Based on years of experience in accordance with the district salary schedule.
Work Days
260 days.
Work Hours
8 hours per day; 5 days per week
Note: Work hours for this position are 6:00 AM to 2:30 PM.
