Minimum hiring annual salary range: $48,288.00 – $52,152.00. To attain the maximum salary, employee must meet all minimum qualifications plus five years of additional applicable work experience and/or degrees higher than the minimum qualification degree.

About the Role

This full-time, on-site position supports the Purchasing Department by ensuring compliance with approved Purchasing Policies and Procedures. The role involves reviewing requisitions, obtaining quotes, confirming pricing and terms, and providing training and guidance to end users. This position assists in managing vendor relationships, the P-Card program, Fixed Assets, and Surplus for the College, and serves as backup to Central Receiving and Mailroom.

Responsibilities

Department Support & General Office Duties

  • Perform routine office tasks
  • Process and reconcile P-card purchases for the Purchasing Department cards
  • Provide back-up support to Central Receiving and Mailroom, including delivering mail and packages (varied sizes and weights) to Aims Campuses/Departments using a company vehicle
  • Operate a forklift as needed

Purchasing & Procurement

  • Review and process requisitions to ensure compliance with purchasing guidelines; return requisitions with corrections and provide guidance
  • Issue Purchase Orders accurately and efficiently within established timelines
  • Track and follow up on orders to ensure timely delivery and resolve discrepancies
  • Review, process, and manage Change Order requests
  • Review submitted receipts for ordered equipment/services and expenses for compliance
  • Assist with formal bids, quotes, and RFPs
  • Manage the quote process, review and confirm quotes, and maintain accurate records of all purchase orders and related documentation
  • Recommend vendors based on spend threshold review, cost, delivery, and service
  • Administer the P-Card program, including issuing cards, training, auditing spending, and ensuring monthly deadlines are met
  • Track, manage, and perform inventories of fixed assets
  • Assist in managing surplus items, including public auctions, internal transfers, and donation eligibility
  • Close out Purchase Orders at the end of the fiscal year

Training & Vendor Relations

  • Train employees in purchasing policies, procedures, and the Workday Purchasing module
  • Manage vendor relationships and ensure timely delivery of products/services

Requirements

  • Bachelor’s degree in Procurement, Business Administration, Supply Chain Management, Logistics, or a related field plus two years of related work experience; OR
  • Associate's Degree plus four years of related work experience; OR
  • No degree and six years of related work experience
  • Strong computer skills, including experience with Microsoft Office Suite, Smartsheet, and Google Sheets
  • Excellent communication, interpersonal, and organizational skills
  • Attention to detail and accuracy
  • Ability to work independently and as part of a team
  • Problem-solving and analytical skills
  • Strong understanding of office procedures and best practices
  • Forklift Certification (or ability to be certified within 30 days of hire)
  • Must successfully pass an MVR check and be insurable under Aims insurance for use of a company vehicle
