Job Title: Business Operations Specialist – Lease Processing Associate Job Description The Business Operations Specialist – Lease Processing Associate (New Move-ins) ensures a smooth and efficient onboarding experience for new tenant accounts by reviewing and processing signed lease agreements and associated payments. This role focuses on lease documentation accuracy, payment verification, and precise data entry into property management systems. The successful candidate is highly organized, detail-oriented, and comfortable working in a fast-paced environment that requires strong analytical, problem-solving, and customer service skills. Responsibilities Review signed lease agreements and all accompanying documentation, such as proof of insurance and pet agreements, to confirm completeness and accuracy.Verify receipt of all required payments from new tenants, including first month’s rent, security deposits, and other applicable fees, typically in the form of money orders or bank checks.Accurately record lease information, tenant details, and payment data within the company’s property management software.Assist in identifying and resolving discrepancies or issues related to lease agreements, documentation, or payments before finalizing move-ins.Collaborate with leasing agents and other internal teams to ensure resident accounts are set up correctly and the lease processing workflow remains seamless.Provide clear and professional communication to tenants and leasing staff to support a positive move-in experience.Perform administrative tasks such as filing, data entry, and report generation to maintain accurate and up-to-date records.Follow established financial and operational procedures to ensure compliance with company policies and standards.Manage multiple lease files and related administrative tasks simultaneously while meeting deadlines and maintaining high accuracy. Essential Skills 1–2 years of experience in customer service, administrative support, or a related field.Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.Strong analytical and problem-solving skills to identify and resolve lease and payment discrepancies.Excellent written and verbal communication skills to interact effectively with tenants and internal teams.High level of accuracy and attention to detail when reviewing lease documents and payment records.Ability to work independently and as part of a team in a collaborative environment.Strong organizational and time management skills to handle multiple lease agreements and tasks simultaneously.Customer service orientation with a focus on delivering a smooth onboarding and move-in experience.Proficiency in technology and record-keeping, including the use of property management software and databases.Experience with data entry and maintaining accurate records in Excel or similar tools. Additional Skills & Qualifications Experience with property management software (preferred).Demonstrated ability to ensure lease documentation accuracy and compliance with company policies.Experience verifying and processing rental payments, security deposits, and other fees in line with financial procedures.Proven attention to detail in reviewing legal and financial documentation.Ability to manage competing priorities and meet deadlines in a structured environment.Strong collaboration skills and the ability to work effectively with leasing agents and other departments.Comfort working with databases and generating reports for operational and management use. Work Environment This role operates within a privately owned real estate development, investment, and management holding company. You will work in an office-based environment that relies heavily on property management software, Microsoft Office Suite, and database tools for day-to-day operations. The position involves regular interaction with leasing agents, internal departments, and tenants, requiring professional communication and a customer-focused approach. Work typically follows standard business hours, with periods of higher activity around lease signing deadlines and move-in dates. The environment emphasizes accuracy, compliance with established procedures, and maintaining organized digital and physical records. Job Type & Location This is a Contract to Hire position based out of Woodbridge, NJ. Pay And Benefits The pay range for this position is $24.00 - $24.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
