Business Operations Specialist

About the Role
This is a part-time position, Monday through Friday, 9:00 AM to 1:30 PM, with a 30-minute lunch break and some flexibility on start/end times. You will lead the daily operation of support services and business office operations for regional administrative functions, including budget monitoring, finance transactions, vendor relationships, facilities management, fleet management, HR, IT, and records/reports. This role also involves providing guidance and leadership to volunteers while ensuring compliance with applicable regulations. Relocation assistance is not available for this role.
Responsibilities
- Monitor budget and expenditures, approve procurement transactions, prepare forecasts, and ensure programs are executed within budget.
- Maintain and distribute operational processes and procedures, ensuring adherence across the team.
- Provide guidance for grant reporting and respond to requests for information or documentation, delegating to volunteers as appropriate.
- Coordinate facility activities, establish work procedures, approve maintenance, develop vendor relationships, analyze data for decision-making, and plan real estate transactions.
- Achieve objectives set by management and collaborate with other divisions to discuss shared services.
- Train volunteers to handle administrative transactions aligned with strategic business goals.
- Analyze fleet inventory records, manage training, maintenance, and personnel for the fleet.
- Support event planning, including training volunteers on insurance certificate applications, financial collection processes, and regulated item forms/codes (e.g., alcohol).
- Train staff on business software applications and support escalation for regional phone and computer issues.
This role requires full knowledge of the job, substantial understanding of its general aspects, and contact within the department and occasionally outside the organization.
Requirements
- Education: High school diploma or equivalent required; Associate’s degree in accounting, Business, or Public Administration preferred.
- Experience: Minimum 5 years of financial, facilities, business operations, or administrative experience in community organizations, government agencies, non-profits, or equivalent combination of education and experience. Experience working with volunteers and board members is preferred.

- Ability to plan, prioritize, and organize work to maximize team performance and meet customer expectations.
- Excellent organizational skills and attention to detail.
- Strong interpersonal skills and ability to collaborate with internal and external stakeholders.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
- Strong knowledge of federal, state, and local employment laws.
- Ability to work effectively in a team environment.
- Travel: Required throughout the region, with some travel outside the region.
- Physical Requirements: Typical office environment conditions; operational flexibility to meet sudden needs. Ability to use a computer and office equipment for sustained periods, including sitting for long durations, driving, and working under challenging conditions.
