Job Summary

The Business Office Manager is a vital role at MorningStar Senior Living, handling both Human Resources and Financial functions. Key responsibilities include:

  • Processing resident move-ins, move-outs, resident billings, status changes, posting payments, bank deposits, and rate changes in the resident module.
  • Handling Accounts Payable duties such as invoice entry, payment processing, expense reimbursements, credit card charges, maintaining vendor files, and preparing 1099s.
  • Managing Human Resources tasks including payroll, timesheet corrections, new employee onboarding, assembling and maintaining personnel files, managing unemployment and workers compensation claims.

Position Overview

Work with the Executive Director and Marketing Department to ensure coordination of resident move-ins, move-outs, and day-to-day administration needs of the residents. Coordinate with the Reporting Accountant for accurate financial reporting. Administer Resident administrative files. Manage the Concierge team. Develop and manage annual admin budgets. Process Payroll. Handle new hire paperwork, including I-9s, drug tests, background checks, reference checks, and ensure proper documentation. Assist in new hire orientation, monitor employee benefits, submit insurance and 401(k) applications, and pay taxes when required. Manage employee vacation and sick hour balances. Manage Employee Appreciation Program. Conduct background checks, manage TB tests, and pre-employment exams. Ensure compliance with COBRA, FMLA, and other regulatory issues. Provide requested information to owners, CEO, CFO, Reporting Accountant, accounting firms, auditors, etc. Collect accounts receivable and prevent past due accounts. Prepare daily, weekly, monthly, and annual reports and summaries as needed or requested. Work with third-party payers. Maintain professional confidentiality.

Qualifications

  • Education: Minimum high school diploma; associates or bachelor's degree in business, accounting or related field preferred.
  • Experience: Minimum 2 years bookkeeping, human resources, and/or office management experience.
  • Job Knowledge: Typing and telephone skills, use of calculators, computers, copy machines, familiarity with chart of accounts, basic bookkeeping skills, payroll skills, tax reports, financial reports, government agencies that relate to finances (Department of Labor and IRS), and W-2, W-4, W-9 and 1099 Forms.
  • Other: Work well with people including staff, residents and families, meet deadlines, organize and prioritize the work load. Positive attitude, compassion for the elderly and thoughtful conduct are important.
