Business Office Coordinator
The Harris Center for Mental Health and IDD is seeking a Business Office Coordinator to ensure efficient business office operations, including front desk management, client check-in/check-out, data compilation, and scheduling for clinical staff.
Responsibilities
- Ensures accurate check-in and check-out of patients according to departmental procedures.
- Completes, verifies, and enters data for all services, including eligibility documentation for initial and ongoing services.
- Collects, tracks, and monitors demographic, financial, and billing information.
- Communicates financial eligibility and other pertinent information to management as needed.
- Schedules appointments for consumers per organizational procedures and notifies management of any issues.
- Creates and maintains scheduler templates consistent with agency protocols.
- Reviews, builds, and corrects schedules, notifying consumers and clinicians of changes.
- Adjusts staff schedules for PTO or administrative leave and monitors appointment availability, no-shows, and cancellations.
- Completes and submits accurate reports within specified time frames.
- Collaborates with team members and actively participates in agency meetings and trainings.
- Maintains professional behavior, ethical conduct, and confidentiality while providing excellent customer service.
- Adapts to a fast-paced environment and complies with agency policies and regulatory requirements.
Requirements
- High School Diploma or General Education Diploma.
- Minimum 1 year of experience in one or more of the following areas (may be combined):
- Healthcare Revenue Management
- Cash Flow Management
- Front Desk/Receptionist
- Customer Service Representative
Skills
- Well-developed interpersonal, organizational, and problem-solving skills.
- Strong verbal and written communication skills.
- Ability to maintain confidentiality and interact effectively at all organizational levels.
- Proficiency in computer skills, including email, Excel, and agency information systems.
- Excellent keyboarding, time management, and data organization skills.
- Bilingual (English/Spanish) preferred.
