Business Office Associate, Full Time Days, Clinical Engineering, Morristown, NJ
About the role
The Business Office Associate provides administrative, financial detail accuracy, and operational support to the Clinical or Facilities Engineering Department. This role assists with budget management, purchasing, vendor coordination, contract administration, documentation, and data entry within the Computerized Maintenance Management System (CMMS).
Responsibilities
- Serve as the primary administrative point of contact for the Clinical or Facilities Engineering department.
- Manage departmental communications, scheduling, and recordkeeping.
- Maintain and update departmental documents, policies, and procedures.
- Prepare correspondence, meeting agendas, and minutes as required.
- Process purchase requisitions, and track purchase orders.
- Verify and code departmental expenses accurately in accordance with budget categories.
- Aid with capital equipment requisition requests.
- Cook with vendors and supply chain to resolve billing or payment issues.
- Maintain records of service contracts, renewals, and warranties.
- Enter and update medical or facilities equipment records, work orders, and service events in the CMMS.
- Aid with medical equipment inventory data accuracy initiatives.
- Maintain contract files and ensure timely renewals and approvals.
- Aid in vendor onboarding and credentialing processes.
- Aid in documentation and reporting for The Joint Commission, CMS, and other audits.
- Aid in regulatory compliance records for medical equipment management.
- Aid in preparing data summaries and reports for Environment of Care (EOC) and Safety Committees.
Qualifications
- High School Diploma or equivalent required.
- Associate degree in Business Administration, Healthcare Management, or related field preferred.
- 2 years of administrative, accounting, or business support experience, in a hospital, clinical engineering, or facilities environment highly preferred.
- Experience with CMMS software and Oracle ERP highly preferred.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
- Attention to detail and accuracy in financial and data processing.
- Ability to work independently and handle confidential information.
