About the role
This position maintains administrative activities in accordance with federal, state, and local standards, established policies and procedures, and supervisor direction to ensure proper administrative procedures are maintained at all times.
Responsibilities
- Receive and follow schedules/instructions from supervisor and established policies and procedures.
- Assist in organizing, planning, and directing administrative activities in accordance with established policies and procedures.
- Maintain minutes of meetings and file as necessary.
- Serve as a key representative of the community and contribute to community relations, public regard, and overall awareness.
- Support the Administrator, DON, and Business Office Manager in administrative tasks.
- Perform clerical and accounting functions such as cash receipts and ancillary data.
- Assist with HR and payroll duties as needed.
- Develop and maintain a good working rapport with inter-department personnel and other facility departments.
- Assist in recording all incidents/accidents and file in accordance with established policies and procedures.
- Assist in administrative studies and projects as assigned.
- Ensure administrative personnel follow established ergonomics policies and procedures to prevent work-related injuries and illnesses.
- Ensure an adequate supply of office supplies and equipment are available to meet day-to-day operational needs.
- Agree not to disclose residents' protected health information and promptly report suspected or known violations.
- Maintain the confidentiality of all resident care information, including protected health information.
Requirements
- Must possess, as a minimum, a high school diploma or GED.
Skills
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information and respond to questions from managers and employees.
- Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
- Ability to solve practical problems and deal with a variety of concrete variables in situations with limited standardization.
- Ability to interpret instructions furnished in written, oral, diagram, or schedule form.
- Proficiency in Excel preferred.
- Ability to type a minimum of 40 words per minute and use a 10-key calculator.
- Knowledge of office machines and equipment.
Certificates, Licenses, Registrations
- Knowledge in clerical functions and computer literacy required.
Physical Demands
- Occasionally lift and/or move up to 25 pounds.
- Prolonged use of a desktop or laptop computer.
- Regularly required to sit, stand, walk, and talk; read or hear.
- Frequent use of office equipment including copier/scanner/fax, telephone, and calculator.
- May assist in the evacuation of residents during emergency situations.
Work Environment
- Noise level in the work environment is usually low to moderate.
