Job Summary

Responsible for the accurate and timely execution of administrative functions. Serve as first point of contact for client inquiries and requests, and track issues to resolution. Provide general administrative duties in support of an outstanding client service experience.

Minimum Qualifications

  • High School diploma or equivalent
  • 2-4 years related work experience
  • Valid Driver’s License
  • Bi-lingual English/Spanish required, including ability to read, interpret and translate documents and make verbal presentations
  • Strong internal and external customer service
  • Positive professional demeanor and contribution to a culture of excellence
  • Effective oral and written communication
  • Prior proven track record of very high attention to detail and organization
  • Proven ability to work within time constraints with limited supervision
  • Proven ability to prioritize workload and change direction quickly depending on deadlines
  • Proven ability to adjust to changing priorities and handle multiple tasks simultaneously, with attention to detail
  • Basic to intermediate understanding of the Microsoft Office Suite, CRM and ERP systems
  • Ability to define problems, collect data, establish facts and draw valid conclusions
  • Read, write and comprehend English

Physical Requirements

  • Constantly required to talk, hear, see, sit, stand and walk
  • Frequent use of hands to manipulate, handle or feel objects, tools or controls
  • Occasionally required to lift and/or move up to 25 pounds

Working Conditions

  • Constantly required to use computer-based systems
  • Frequently sits for long periods of time in an office environment

Essential Duties

Service & Operations Support

  • Promptly and professionally answer client customer service line
  • Determine nature of client requests, enter into ERP, assign to appropriate department/manager, and track to completion
  • Regular and timely follow up on client requests with operations
  • Create and send seasonal proposals to clients
  • Analyze reports and job data for discrepancies or issues and share findings with ROM
  • Process and review accepted work orders for accuracy of billing and description information into ERP and accounting system
  • Timely and accurate processing of non-recurring accounts receivable invoicing as needed

Office Administrations

  • Affiliate with office operations, workflow and procedures
  • Maintain inventory of, and requests for office supplies/PPE and complete online ordering
  • Manage project-based work, follow-up, and report results
  • Keep management informed by reviewing and analyzing special reports, compiling information and identifying trends
  • Responsible for complying with and meeting all company driven deadlines
  • Maintain and protect sensitive company data by adhering to internal security controls
  • Purchase order management
  • Timecard entry
  • Customer billing

Human Resources Responsibilities

  • Have a working knowledge of the company Employee Handbook and be able to answer general questions from employees
  • Time entry, payroll validation, missed and final pay coordination
  • Affiliate with annual open enrollment and HR initiatives
  • Affiliate with on-boarding, orientation and off-boarding of employees
  • Affiliate with recruitment of field personnel
  • IT liaison for staff equipment and technology needs
  • Maintain a good understanding of local unions
  • Affiliate with background checks
  • Affiliate with safety training and record retention
  • Affiliate with audits
  • Maintain records and report incidents and injures including workers compensation claims
  • Other duties as assigned.
