Essential Duties
- Aids in the accounts receivable function by receiving and verifying daily receipts and preparing daily bank deposits.
- Aids in the accounts payable function by issuing and processing purchase orders and invoices for payment.
- Reconciles monthly bank statements.
- Researches and resolves discrepancies regarding invoice amounts, communicating with vendors and others as necessary.
- Prepares cash boxes for academic and athletic events and reconciles boxes for correctness upon return.
- Maintains the instructional allotment and assists in issuing and collecting teacher receipt books.
- Maintains the purchase order log for the annual audit and assists in inventory management.
- Provides guidance on compliance with accounting rules and assists in resolving student account issues.
- Distributes incoming mail and performs receptionist duties as required.
Knowledge, Skills And Abilities
- Knowledge of accounting and bookkeeping principles.
- Ability to multitask and manage time effectively.
- Basic math skills (addition, subtraction, multiplication, division).
- Proficiency in using personal computers and software applications (e.g., School Accounting Program, Word, Excel, Google Docs, Google Sheets).
- Accuracy in processing paperwork according to standardized procedures.
- Confidentiality of student, employee, and other information.
- Establishing and maintaining cooperative working relationships.
- Solving job-related issues.
Equipment
- Standard office equipment (personal computer, copy machine, fax machine, telephone).
- Calculating devices.
Travel Requirements
- Limited travel to and from meetings may be required.
Physical and Mental Demands, Work Hazards
- Works in standard office and school building environments.
Qualification Profile
- High school diploma required.
- College level course work in business, word processing, and office procedures preferred.
- Associates or Bachelor's degree preferred.
- Successful experience with office management in related areas preferred.
