Essential Responsibilities
- Prepare, process, and submit accurate invoices and billing statements on a timely basis.
- Manage billing for grants, contracts, government programs, insurance providers, clients, and other funding sources.
- Review billing documentation for accuracy, completeness, and compliance with contract requirements.
- Monitor accounts receivable and follow up on outstanding balances and unpaid invoices.
- Post payments, adjustments, credits, and other transactions accurately to the accounting system.
- Reconcile billing records, payment activity, and accounts receivable balances.
- Research and resolve billing discrepancies, rejected claims, payment issues, and account inquiries.
- Communicate professionally with clients, vendors, funding agencies, government representatives, and internal departments.
- Maintain organized and accurate billing documentation and supporting records.
- Aid with month-end and year-end closing activities related to billing and accounts receivable.
- Prepare billing, collections, and accounts receivable reports for management.
- Support audits by providing billing records, payment documentation, and other financial information.
- Ensure compliance with nonprofit policies, grant requirements, contracts, and applicable billing regulations.
- Maintain confidentiality of financial, client, and organizational information.
- Perform other accounting and administrative duties as assigned.
Qualifications
- A high school diploma or equivalent required; an associate degree in accounting, finance, or a related field preferred.
- At least 2 years of billing, accounts receivable, accounting, or financial administration experience.
- Experience in nonprofit, healthcare, human services, government contracting, or grant billing is preferred.
- Strong knowledge of Microsoft Excel and accounting or billing software.
- Excellent attention to detail and organizational skills.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Ability to work independently and collaboratively in a mission-driven environment.
- Commitment to maintaining confidentiality and handling sensitive information appropriately.
Preferred Skills
- Experience with nonprofit accounting and restricted funding.
- Knowledge of grant, contract, or government program billing.
- Experience with electronic billing systems and payment portals.
- Familiarity with accounting systems such as QuickBooks, Sage, NetSuite, or similar platforms.
- Experience with accounts receivable reconciliations and collections.
