Sitton is seeking a Billing Specialist to join our Billing team, collaborating with Sales, Customer Service, Branch Operations, and Finance while providing administrative and transactional support to the Sitton Finance team.
Responsibilities
- Review completed invoices, work orders, job documentation, customer purchase orders, and more for completeness and billing readiness.
- Reconcile invoice pricing, quantities, products, labor, freight, taxes, fees, credits, and other charges to the approved quote, contract pricing, or authorized change.
- Identify billing discrepancies and exceptions.
- Confirm that customer-specific billing requirements are satisfied.
- Correct or coordinate correction of routine billing errors.
- Finalize invoices.
- Maintain accurate invoice status and records; promptly escalate unresolved items.
- File and retain resolved invoices and supporting documents.
- Respond professionally and promptly to internal billing questions and assist with research related to billing issues.
- Assist with month-end billing close, invoice audits, reconciliations, reporting, data cleanup, and other Finance Team priorities.
- Provide cross-functional and general administrative support to the Sitton Finance Team during peak workload periods, employee absences, special projects, or process-improvement initiatives.
- Other duties as assigned.
Qualifications
- High school diploma or equivalent required; associate degree or coursework in accounting, finance, business, or a related field preferred.
- One or more years of billing, accounts receivable, order processing, accounting support, or comparable administrative experience preferred; experience in flooring, construction, field services, facilities services, or another high-volume B2B service environment is a plus.
- Working knowledge of invoice review, quote or contract reconciliation, purchase orders, credits, taxes, and supporting documentation.
- Ability to manage a high volume of transactions, prioritize competing deadlines, and maintain dependable productivity without sacrificing accuracy.
- Professional written and verbal communication skills and the judgment to ask clear questions, document decisions, and escalate unresolved issues.
- Proficiency with Microsoft Outlook and Excel, including basic formulas, sorting, filtering, and reconciliation of data; experience with ERP, accounting, CRM, or work-order systems preferred.
- Demonstrated discretion in handling confidential business and financial information.
