About the role
This role is an entry level opportunity to support the functionality of the Account Representative/Billing Representative II role. This role affords a direct path into the Billing function. The Billing Representative 1 owns case closeout accuracy and the administrative volume that feeds it — case‑file maintenance, data entry, and moving files through to refund or collections, as well as other administrative tasks to support the billing function.

Key Responsibilities
- Support case closeout in Clio, including moving files to refund or collections stage with accurate documentation.
- Perform case review administration and maintain billing‑relevant accuracy of case files inside Clio.
- Complete data entry tasks tied to active cases, intake records, and billing hand‑offs.
- Receive, track, and complete billing‑ and case‑related tasks assigned by Account Representatives through HubSpot, the firm's central tasking system.
- Schedule case strategy sessions for clients in trial mediation or with high‑debt case profiles.
- Handle calendaring for assigned Account Representatives, including confirming and adjusting appointments.
- Assist with scanning and digitizing client and case documentation.
- Provide backup coverage for the main receptionist and other duties as needed.
Qualifications
Required Qualifications
- One or more years of experience handling high‑volume data entry roles that required a high level of accuracy accountability.
- Strong verbal and written communication skills.
- Intermediate skills with MS Office or Google Workspace (Gmail, Documents, Sheets, Calendar, Drives, etc).
- Solid data entry skills and comfort with high volume and accurate entries.
- Ability to follow structured workflows and complete assigned tasks without close supervision once trained.
- Reliability and punctuality — this role directly supports revenue‑generating case teams.
Preferred Qualifications
- Prior administrative experience in customer service, or legal‑support office experience.
- Familiarity with CRM or case management software (e.g., HubSpot, Clio, or similar platforms).
