Billing Analyst - Legal (Aderant)

About the role

This position operates on a Monday-Friday, 1st shift schedule. The Billing Analyst will handle all aspects of client billing, including preparation, research, analysis, and reporting. Responsibilities involve implementing client billing guidelines, managing special billing arrangements, and collaborating directly with partners, secretaries, and clients.

Responsibilities

• Generate and distribute prebills/proformas, assist with month-end processing, draft correspondence, perform time and expense transfers and edits, generate reports, manage billing timeliness, allocate unapplied funds, and handle write-offs, cancellations, and invoice posting/mailing.
• Prepare attorney/client invoices, including fixed fee, batch, retainer, contingency, and other formats.
• Ensure accuracy of work product, determine appropriate bill formats, prepare spreadsheets or supplemental billing documents, and manage client billing requirements/guidelines.
• Understand firm/client fee arrangements, prepare bills for electronic processing, and coordinate necessary client/matter changes.
• Perform time entry narrative edits and best-practice proofreading.
• Assist customers with billing inquiries, troubleshoot issues, and follow up with operational areas.
• Review and edit time entries to ensure compliance with client guidelines.
• Create and maintain spreadsheets to track/monitor various functions as needed.
• Handle special projects and ensure all client-specific billing needs are met while adhering to company policies.

Requirements

• Associate Degree or advanced degree preferred, with a concentration in Business, Accounting, or Finance. Commensurate experience may substitute for education.
• Minimum two years of billing experience in a law firm or professional organization.
• Experience working with client Document Management Systems (DMS).
• Ability to create spreadsheets, manipulate data, and generate reports.
• Detail-oriented with strong organizational and time-management skills.
• Ability to multitask and meet stringent deadlines in a fast-paced environment.
• Ability to work effectively in a team and take ownership of individual assignments.
• Excellent verbal and written communication skills, with the ability to present results to senior management.
• Ability to perform well in a cross-functional environment and interface effectively with senior management, vendors, and client staff.
• Professional handling of sensitive and confidential matters.
• Advanced knowledge of Microsoft Office products, particularly Excel.
• Experience with Aderant strongly preferred.
• 10-key calculator proficiency strongly preferred.

Pay

The salary range for this role is $23.99–$35.53 per hour. Starting pay is determined based on education, qualifications, skills, experience, certifications, proficiency, performance, shift, location, and business needs. Roles typically follow step progressions to a target rate or set increments over time. Total compensation may also include overtime, shift differential, call-in, and/or stand-by pay.
