About the Role

The Billing Administrator supports the Environmental Practice Group by managing accounts receivable and payable activities, project financial records, and client billing processes. This role ensures accurate transaction processing, timely invoicing, and reliable financial tracking while supporting technical and professional staff. The position requires strong organization, attention to detail, and the ability to work independently in a fast-paced environment.

Responsibilities

  • Record accounts payable transactions to appropriate expense accounts, jobs, and phases.
  • Track and enter billable and non-billable time accurately.
  • Support timely entry of staff transactions, including time reports, expense reports, and expense coding.
  • Prepare detailed monthly client invoices.
  • Monitor client accounts receivable and follow up on outstanding balances as needed.
  • Assist with subcontracting processes, including vendor setup and documentation.
  • Set up new projects and enter project budgets accurately.
  • Collaborate with team members to complete assigned financial and administrative tasks.
  • Support technical and professional staff with report preparation and production.
  • Execute special projects and follow through on assigned responsibilities.

Requirements

  • Associate’s or Bachelor’s degree in Business or a related field preferred.
  • 3–5 years of professional experience in administrative or financial support, preferably within a professional services environment.
  • Strong organizational skills and attention to detail.
  • Proficiency with Adobe and Microsoft Office applications, including Word, Outlook, PowerPoint, and Excel.
  • Experience using Enterprise Resource Planning (ERP) software for accounting transactions.
  • Experience with Deltek accounting software, particularly Vantagepoint, is a major plus.
  • Ability to adapt to changing priorities and client needs.
  • Ability and willingness to work overtime as required.
