About the role

A Clinical Administrative Assistant is a vital, hands-on member of the care team who works directly with patients and providers in clinics, hospitals, and specialty practices. This role is the fastest, most respected way to gain paid, patient-facing clinical experience before medical, nursing, or PA school. You’ll log hundreds of hours of direct patient contact, master clinical skills that admissions committees value, build strong letters of recommendation from physicians and nurses, and discover whether the clinical side of healthcare is your calling.

Responsibilities

  • Maintain efficient patient flow
  • Prepare for patient visits and ensure all pertinent information is ready
  • Schedule appointments
  • Answer phones and triage phone calls
  • Complete pre-authorization administrative paperwork
  • Communicate between administrative team, clinical staff, providers, diagnostic staff, patient assistant team, security staff, and providers
  • Provide and explain required forms and paperwork at check-in
  • Verify active insurance, in/out of network eligibility, and authorizations
  • Collect copays, coinsurance, and outstanding balances
  • Adhere to and explain financial policy to patients as needed
  • Verify, enter, and update patient demographic information
  • Connect patients with delinquent accounts to patient representatives to set up financial agreements and answer billing questions
  • Manage physicians' calendars and scheduling meetings
  • Maintain and update physicians' CVs
  • Assist in monitoring expiration dates related to licensure, certifications, dues, and subscription renewals for assigned faculty
  • Coordinate business travel arrangements, manage itineraries, and register for conferences
  • Coordinate and facilitate specialized activities, events, and projects
  • Initiate purchasing requests for food, supplies, or equipment as needed
  • Keep management informed of high-risk situations
  • Maintain HIPAA compliance
  • Open/close the practice for the day

Requirements

  • High school diploma or equivalent
  • At least 18 years old and authorized to work in the U.S.
  • Proof of vaccinations (may be required)
  • Fluent in English and Spanish (reading, writing, speaking)
  • Strong listening and communication skills
  • Flexible schedule availability
  • Ability to stand, sit, and use a computer for several hours a day
  • Access to a laptop (you’ll be provided one after training but need your own for training)

Schedule

We are currently seeking both part-time (2-3 shifts/week) and full-time (3-4 shifts/week) team members who will work Monday - Friday from 8:00 AM - 6:00 PM in an outpatient setting. This position requires you to work at several satellite locations during a scheduled week, including North Miami and Hallandale, FL. Business needs may shift, and flexibility is encouraged.
