About the role

This role is available at the Rockville Clinic within the ABA team. Must be fluent in both Spanish and English.

Responsibilities

  • Schedule and manage daily clinic operations including cancellations and coverage arrangements.
  • Maintain and update appointment records in Scheduling Software.
  • Communicate schedule changes to caregivers and staff professionally.
  • Welcome visitors and families, answering inquiries and directing them to appropriate areas.
  • Coordinate drop-off and pick-up activities, ensuring client safety.
  • Answer phones and direct calls, taking detailed messages when necessary.
  • Maintain security by following procedures and monitoring the visitor log.
  • Manage clinic inventory and place orders for supplies.
  • Support in-home clinicians by preparing and distributing therapy materials.
  • Update and maintain the clinic Calendar of Events, bulletin boards, and incoming/outgoing mail.
  • Aid in onboarding new hires and assist with staff appreciation initiatives.

Requirements

  • High school diploma or equivalent.
  • Bilingual in Spanish.
  • 1-3 years of administrative or customer service experience.
  • Experience in healthcare scheduling, preferably in ABA therapy or behavioral health.
  • Proficiency in Microsoft Office and Google Suite.
  • Experience with scheduling software and EHR/EMR systems.
  • Strong organizational skills and ability to work independently and in a team environment.
  • Excellent problem-solving abilities and adaptability in a fast-paced environment.
  • Familiarity with ABA therapy terminology and scheduling nuances.

Qualifications

  • High school diploma or equivalent.
