About the role

This is a full-time (40 hrs/wk., benefits eligible) position at our Madison South Health Center in Madison. As a valuable member of our team, all Center Coordinators receive paid training to deliver clinical care and complete medical administrative tasks. An additional $1.50 per hour is provided for bilingual (English/Spanish) skills.

Under the direction of the Center Manager and the Regional Director, the Center Coordinator provides leadership and direction within the health center to support a team-based, customer-focused, results-oriented service model that achieves clinical, operational, and financial goals.

Responsibilities

  • Operations
    • Assist with the day-to-day management of all health center activities within the defined cluster.
    • Collaborate with center Clinicians, Regional Director, and Patient Services Administrative Team to develop, implement, and improve operational initiatives ensuring high-quality, service excellence, and efficient care.
    • Oversee all aspects of front office management.
    • Provide direct patient care consistent with level of training, licensure, or certification, according to medical standards and guidelines.
    • Accurately implement, interpret, and ensure compliance with all PPFA, PPWI, and regulatory policies, practices, procedures, and standards.
    • Prepare work schedules and assignments for health center staff.
    • Order supplies and maintain inventory system.
    • Monitor health center interior and exterior; maintain facility in a clean and safe condition. Coordinate routine maintenance (e.g., carpet cleaning, painting).
    • Ensure health center security is maintained during operational hours and at closure.
    • Maintain equipment as required by agency procedure and protocol.
    • Monitor site-specific quality assurance activities for non-medical operations, including non-medical audits, drills, and staff training.
    • Maintain and monitor medical records system to ensure compliance with agency policies and procedures.
    • Participate in PPWI’s affiliate-wide risk and quality management program.
  • Financial
    • Supervise and monitor all aspects of revenue collection, including patient enrollment in third-party payment programs.
    • Ensure staff adherence to all cash management policies and procedures.
    • Monitor weekly patient encounters to identify and project target encounter goals.
    • Monitor daily transaction reports for accuracy and compliance.
    • Review and approve expense reports and invoices in a timely manner.
    • Assist Center Manager with preparation of the center budget.
    • Assist with reporting requirements related to special grants.
  • Staff Management
    • Assist with hiring of health center staff.
    • Assist with employee performance management, including providing feedback to the Center Manager for performance evaluations and corrective action.
    • Monitor, facilitate, and/or participate in new employee training.
    • Assist with staff meetings based on the needs/requirements of the center or agency.
    • Assist with mediation of staff complaints, concerns, and disputes.
    • Foster a positive attitude among staff regarding the goals and objectives of the agency.
    • Serve as a back-up support to the Center Manager as required.
  • Customer Service
    • Create an environment that stresses patient courtesy and responsive service delivery.
    • Monitor and ensure patient access to medical care.
    • Resolve patient complaints and requests for service promptly and courteously.
    • Administer patient customer satisfaction surveys under direction by the Patient Services Administrative Team.
    • Assist the Center Manager in developing improvement plans to address any deficiencies.
  • Public Relations
    • Maintain cooperative arrangements with building management, tenants, and community resources to provide for facility maintenance and security.
    • In collaboration with the Center Manager, establish and maintain contact with local health agencies and community organizations with which PPWI has current patient care contracts and/or relationships.

  • Must have transportation and comply with the vehicle usage policy; occasional travel within the cluster may be required.
  • Evening and/or weekend hours are necessary.
  • Work environment involves exposure to potentially dangerous materials and situations requiring extensive safety precautions, including the use of protective equipment. Will work with blood or blood-borne pathogens and require OSHA training.

Qualifications

  • High school diploma required; two years of related work experience required.
  • Experience in a medical environment, family planning setting, or an OB/GYN office preferred.
  • Associate degree or relevant college coursework preferred.
  • Management and supervisory experience preferred.
  • Budgetary experience and/or responsibility preferred.

Pay

Starting pay for the Center Coordinator position is $20.90 per hour, with an additional $1.50 per hour for bilingual (English/Spanish) skills. PPWI’s compensation philosophy is rooted in equity; starting offers are determined by both the candidate’s applicable experience and internal equity.
