Bid Coordinator -SR
BASIC PURPOSE
The Bid Coordinator position is responsible for providing exceptional service and operational support to K-12 customers throughout the region. This role processes incoming orders, responds to customer inquiries, resolves service and delivery issues, and ensures accurate and timely communication.
Essential Responsibilities
- Respond to customer questions and concerns regarding deliveries, routing, product availability, order status, and service issues.
- Process incoming customer orders accurately and in a timely manner, ensuring information aligns with customer requirements and established order guides.
- Maintain accurate and up-to-date information regarding school closures, weather-related schedule changes, holidays, and other events that may impact ordering or deliveries.
- Maintain a detailed and accurate customer call sheet to ensure all assigned customers have submitted required order information and to proactively identify missing or incomplete orders.
- Collaborate with department management to create, update, and maintain customer order guides within the online ordering platform.
- Create and coordinate same-day deliveries, pickups, special orders and other service-related requests for customers.
- Demonstrate strong problem-solving and troubleshooting skills while effectively prioritizing tasks based on urgency and customer needs throughout the day.
- Provide support to the K-12 Region as needed to ensure consistent service and operational execution.
- Proactively collaborate with management to assist with the movement of slow-moving, dead, excess, discontinued, and short-dated inventory.
- Maintain a high level of accuracy, attention to detail, follow-through, and responsiveness in all customer and internal communications.
- Perform other duties and responsibilities as assigned by the Manager.
Qualifications
- Education/Training: High school diploma or equivalent required. Bachelor’s degree preferred.
- Related Experience: Minimum of three years of customer service experience required. Experience supporting K-12, school nutrition, or foodservice distribution accounts is strongly preferred.
- Knowledge/Skills/Abilities: Working knowledge of Microsoft Excel, Word, and PowerPoint, with a strong emphasis on Excel proficiency. Strong verbal and written communication skills with the ability to effectively communicate with customers and cross-functional team members. Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines and remain flexible in a fast-paced, frequently changing environment. Strong emphasis on accuracy, attention to detail, and follow-through. Comfortable learning and utilizing technology, online ordering platforms, and other business systems.

Compensation
Compensation depends on relevant experience and/or education, specific skills, function, geographic location, and other factors as applicable by law (for example: state or local minimum wage thresholds). The expected base rate for this role is between $18 - $28.
