About the role
The Benefits Supervisor plays a key operational and leadership role in delivering comprehensive health, wellness, and retirement benefits to our workforce across multi-state operating divisions. Reporting directly to the Benefits Manager, this role leads a team of 3 Benefits Specialists and serves as the primary subject-matter expert for all employee benefits programs, administration systems, and related processes. The ideal candidate brings a blend of supervisory strength, technical fluency in benefits technology, and a customer-first mindset.
Responsibilities
- Directly supervise, mentor, and guide a team of 3 Benefits Specialists, supporting their daily work, professional development, and performance reviews.
- Manage workflow distribution within the benefits team to ensure accurate, timely processing of employee inquiries, life events, enrollment changes, and leave requests.
- Serve as the first level of escalation for complex employee benefits inquiries, escalated claims issues, and complex leave scenarios.
- Oversee day-to-day health and welfare plans administration (medical, dental, vision, life, disability, voluntary benefits).
- Provide full 401K administration oversight, managing the day-to-day operations, compliance, and support for our retirement plans.
- Act as the functional administrator and subject matter expert for BenefitSolver.
- Oversee and troubleshoot demographic and payroll data feeds (EDI/API interfaces) between UKG Pro, BenefitSolver, and third-party insurance carriers.
- Partner with Payroll and field HR to ensure deduction accuracy, perform routine system audits, and reconcile enrollment records across platforms.
- Partner with the Benefits Manager to plan, configure, test, and execute annual Open Enrollment in BenefitSolver and UKG Pro.
- Review and approve monthly carrier billings, audits, and self-bill reconciliations prior to disbursement.
- Guide the team in managing Family and Medical Leave (FMLA), Short-Term/Long-Term Disability (STD/LTD), and ADA accommodation requests.
- Ensure organizational compliance with ERISA, HIPAA, ACA, COBRA, IRS, and Department of Labor regulations.
- Assist in generating and auditing annual compliance reporting, including Form 5500 data gathering, ACA 1095-C tracking in Businessolver, and non-discrimination testing.
Requirements
- Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent hands-on experience).
- 4–6+ years of progressive benefits administration experience.
- 1–3 years of supervisory or team lead experience in an HR or Benefits capacity.
- Hands-on proficiency with UKG Pro and BenefitSolver or similar systems.
- Advanced Microsoft Excel/Google Sheets skills (VLOOKUPs, index/match, pivot tables) for data auditing and reconciliations.
- Experience in construction, manufacturing, logistics, or multi-state union/non-union environments is highly desirable.
Qualifications
- CEBS, SHRM-CP, or PHR certification preferred but not required.
