Back Office Technician

Full-time position supporting patient care, office, and laboratory duties in an optical setting. The Back Office Technician prepares patients for examination and assists optical professionals in delivering eye treatments.

Responsibilities

  • Ensure a positive and professional environment where patients feel comfortable; prepare patients for treatment and assist doctors.
  • Collect and document the patient’s chief complaint, ocular and medical health history, and current medications.
  • Obtain and verify patient consents.
  • Perform refractions and administer basic Visual Acuity (VA) assessments.
  • Conduct intraocular pressure (IOP) tests using a Tonopen unit.
  • Take fundus photos and administer Visual Field (VF) tests.
  • Perform Fluorescein Angiogram (FA) and Indocyanine Green Angiography (ICG) procedures.
  • Administer topical ophthalmic and dilation medications to patients.
  • Maintain clean, sterile, and stocked exam rooms.
  • Provide written instructions and patient education materials; ensure patient understanding.
  • Document and summarize ocular examinations accurately while maintaining patient flow and communication regarding appointment status.
  • File patient forms and update information in CareCloud/EMR system.
  • Drive patients in a company-provided vehicle (required in some clinics).
  • Maintain professional appearance and demeanor in accordance with company policies.
  • Keep commitments and inform direct supervisor of work progress, timetables, and issues.
  • Comply strictly with State, Federal, and other regulations (e.g., OSHA, WC, HIPAA, ADA, FEHA, DOL, HR policies).
  • Perform other duties as assigned by management.

Requirements

  • High School education, GED, or equivalent.
  • Valid driver’s license and automobile insurance.
  • Ability to travel to other clinics as assigned.
  • Experience in the Ophthalmic or Optometric Industry (desirable).
  • Experience as a Back Office Technician (desirable).

Qualifications

  • Certified Ophthalmic Technician (preferred).
  • Certified Ophthalmic Assistant (preferred).
  • Team player with excellent communication and interpersonal skills (oral and written).
  • Proficient in Microsoft Word and Excel; ability to use standard office equipment.
  • Ability to respond to inquiries from customers, staff, vendors, or community members.
  • Strong decision-making skills under pressure; ability to interpret and apply policies and procedures.
  • Professional and respectful demeanor in all interactions.
  • Detail-oriented, organized, process-focused, proactive problem solver with a customer service focus.
  • Ability to make timely, independent judgments using available information, even when vague or limited.
  • Ability to multitask effectively in a fast-paced, sometimes ambiguous environment without compromising quality.
  • Ability to prioritize tasks and projects with limited direction while contributing to clinic success.

Work Environment

Primarily an office-based role with controlled temperature conditions and limited exposure to hazardous substances. Noise levels are typically low to moderate. Ability to travel between offices is required.

  • Regularly required to sit, stand, walk, handle, or feel objects, reach with hands and arms, see, talk, and hear.
  • Frequently lift and/or carry materials weighing less than 20 pounds.
  • Occasionally required to stoop, kneel, bend, or crouch.
  • Finger dexterity needed for data entry using a computer keyboard, calculator, and other standard office equipment.

Pay

$23.00 - $25.00 per hour.
