Aviation Administrator

ABM Industries is seeking a detail-oriented and proactive bilingual Aviation Administrative Assistant to provide comprehensive administrative support to the Aviation team. Bilingual in Spanish and English is preferred.

Responsibilities

• Provide administrative support to Aviation leadership and operations teams.
• Coordinate meetings, prepare agendas, and document minutes.
• Manage and organize operational documentation, including compliance records, work orders, and shift reports.
• Assist with onboarding, badging, and airport access control (SIDA/AOA) for new team members and subcontractors.
• Maintain office supplies, equipment, and general workspace organization.
• Support scheduling, travel arrangements, and expense reporting.
• Ensure compliance with company policies, airport authority regulations, and TSA requirements.
• Serve as a liaison between internal departments, airport authorities, airline clients, and external vendors.

Requirements

• Associate's degree or equivalent experience in Business Administration or related field.
• 3+ years of administrative experience, preferably in aviation, airport operations, or facilities environments.
• Bilingual in Spanish and English.
• Strong organizational and communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Experience with workforce management or work order systems is a plus.
• Ability to obtain and maintain an airport-issued security badge (SIDA clearance).
• Ability to handle confidential information with discretion.
