Key Responsibilities
- Greet customers, answer incoming calls, and serve as a welcoming first point of contact
- Manage daily office operations, including scheduling, filing, and maintaining organized workspaces
- Handle customer check-ins, repair updates, and general service inquiries
- Perform bookkeeping tasks, including data entry, invoicing, and payment processing
- Utilize QuickBooks for billing, accounts receivable, and basic financial tracking
- Aid with insurance documentation, estimates, and repair order coordination
- Support management with administrative tasks and communication needs
- Maintain accurate records and ensure smooth workflow between office and shop staff
Qualifications
- Previous experience as a receptionist, administrative assistant, or office coordinator
- Strong bookkeeping skills with proven QuickBooks experience
- Excellent customer service and communication abilities
- Familiarity with autobody or automotive repair operations (preferred)
- Spanish bilingual (beneficial for daily customer interactions)
- Ability to step in quickly and work independently with minimal training
- Strong attention to detail and ability to multitask in a fast-paced environment
- Professional, friendly demeanor with a team-oriented mindset
- Solid computer skills, including email, scheduling systems, and basic office software
