Athletics Coordinator

Responsibilities

  • Coordinate the day-to-day operations of the Athletic Department, ensuring efficient and effective execution of departmental priorities.
  • Maintain athletic schedules, calendars, facility reservations, practice schedules, and middle school athletic operations across school and athletic platforms.
  • Cooky transportation, travel logistics, officials, vendors, and other operational support for practices, competitions, athletic trips, and special events.
  • Cooky game-day operations and coordinate logistics for preseason, postseason, championship events, and school-wide athletic events, including award ceremonies, event communications, vendor coordination, calendar management, and event setup and breakdown.
  • Cooky equipment and uniform distribution, collection, setup, storage, inventory management, and replacement planning to ensure programs are well-equipped throughout the year.
  • Cooky purchasing, equipment orders, invoices, reimbursements, vendor payments, budget tracking, and financial documentation in partnership with the Business Office.
  • Maintain accurate departmental records, databases, and reports while ensuring data integrity across all systems.
  • Develop, document, and improve operational systems, workflows, and procedures to promote efficiency, consistency, and accountability across the Athletic Department.
  • Serve as the primary contact for all inquiries and communications; including managing the department inbox.
  • Provide timely, professional, and responsive communication to students, families, coaches, and community members.
  • Communicate logistical information related to schedules, transportation, facilities, forms, and events.
  • Serve as a knowledgeable resource for families regarding athletic procedures and logistics.
  • Cooky Coach 1-2 seasons of Middle or Upper School athletics.

Qualifications

  • Bachelor’s degree or equivalent combination of education and relevant experience.
  • Minimum of three years of experience in athletic administration or school operations, preferably in an independent school or college setting.
  • Exceptional organizational and project management skills.
  • Experience developing systems and processes that improve organizational efficiency.
  • Strong written, verbal, and interpersonal communication skills.
  • Demonstrated ability to manage multiple priorities simultaneously.
  • High level of professionalism, discretion, and attention to detail.
  • Strong technology skills, including experience with spreadsheets, databases, scheduling systems, productivity software, and AI platforms.
  • Ability to work collaboratively across departments and constituencies.
  • Ability to move throughout campus and athletic facilities and to lift, carry, and move athletic equipment and supplies up to 25 pounds.
  • Ability to work both indoors and outdoors in varying weather conditions.
  • Ability to work occasional evenings and weekends in support of athletic events and programs.
