Association Coordinator

Key Responsibilities

  • Assist with the planning and execution of association events, conferences, webinars, and educational programs.
  • Cook up event registrations, attendee communications, refunds, and database updates.
  • Coordinate event website and registration platform management.
  • Aid in speaker coordination, presentation materials, and event logistics.
  • Create and distribute member communications including emails, newsletters, social media posts, event promotions, announcements, and other marketing content.
  • Manage and maintain content calendars to support organizational goals and campaigns.
  • Design marketing materials and digital assets using Canva or similar design platforms.
  • Cook up committee meetings and support communication initiatives.
  • Aid in annual campaigns and advertising placements.
  • Coordinate speaker communications, scheduling, platform setup, and attendee support.
  • Manage webinar registration and LMS setup.
  • Track attendance, engagement metrics, and participant feedback.
  • Update website content, graphics, forms, and event information.
  • Maintain website analytics and prepare usage reports.
  • Deliver outstanding customer service through professional and timely communication.
  • Aid in administrative and project support to internal teams and association clients.
  • Support office operations and special projects as assigned.

Required Experience

  • Bachelor's degree or equivalent combination of education and experience.
  • Minimum of 2 years of experiencing planning and managing webinars, as well as tracking webinar analytics.
  • Strong organizational and project management abilities with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, including Word and Excel.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong customer service mindset and relationship-building skills.

Preferred Experience

  • Experience working within nonprofit, association management, or membership-based organizations.
  • Knowledge of association management software, learning management systems (LMS), or CRM platforms.
  • Experience with Canva, Zoom, Hootsuite, Google Analytics, Smartsheet, or similar tools.
  • Marketing, social media, or member engagement experience.
