Assistant to the Associate Dean of Seaver College
About the role
The Assistant to the Associate Dean exists to assist the Seaver College Deans in achieving the goals of the college with an emphasis on initiatives related to student and faculty development and curriculum. It requires a deeper understanding of academic processes, focused coordination, and specialized domain expertise within the curriculum sphere.
Responsibilities
- Coordinate the administrative operations of academic committees by scheduling meetings, preparing materials, recording official minutes, maintaining governance records, and ensuring the integrity of committee documentation and archives.
- Manage meeting logistics, including room reservations, technology coordination, calendar invitations, and distribution of meeting materials.
- Plan faculty-development events.
- Administer student academic processes by coordinating, tracking, and processing academic requests, including Change of Final Exam petitions, Directed Studies, Special Topics, and other academic forms.
- Cook up recurring academic administrative functions that require accuracy, confidentiality, and compliance with University policies.
- Provide administrative support to Associate Deans through document preparation, report formatting, correspondence, data management, and assigned operational projects.
- Oversee academic and personnel operations by managing the WAVES 100 course, supervising student staff, and delivering dedicated administrative assistance to faculty.
- Support the daily administrative operations of the Dean's Office by processing vendor requests, purchase requisitions, invoices, office supply orders, and other departmental transactions.
- Cook up logistical planning and administrative support for divisional meetings, faculty programs, seminars, and recurring departmental events.
- Provide on-site administrative support for major College events, including Commencement, Baccalaureate, faculty retreats, and other institutional programs.
- Facilitate administrative, logistical, and financial operations for the department, which includes coordinating travel and events, maintaining web presence, and executing credit card reallocations and reconciliations on behalf of faculty, Associate Deans, and the Executive Assistant to the Dean.
- Serve as a professional point of contact for the Dean's Office by responding to inquiries, providing front-office support, directing visitors, and assisting faculty, staff, students, and external constituents.
- Maintain accurate records, safeguard confidential information, and ensure the consistent application of administrative procedures and University policies.
- Perform additional administrative responsibilities and special projects as assigned while supporting the mission and strategic objectives of the University.
Qualifications
- Bachelor's degree and 3 years of administrative or office experience.
- College or University office experience.
- Computer literacy.
- Exceptional writing skills.
- Adequate attention to details.
- Ability to maintain confidentiality.
- Able to work with a variety of people.
- Public relations skills.
- Ability to function under pressure.
- Ability to work efficiently.
- Aptitude and willingness to learn.
Preferred
- PeopleSoft student records training.
- Knowledge of Pepperdine.
- Proficiency with PeopleSoft, Navigate, Interfolio.
Pay
Regular, Nonexempt, 40 hour per week position.
Expected Pay Range: $27.88 - $29.80 per hourBenefits
