About the role

Under the supervision of the Service Manager/Maintenance Superintendent, the Assistant Service Manager assists in all areas defined as part of the Service Manager job description. Primary responsibilities include the physical upkeep of the community, maintaining and operating all mechanical equipment (excluding those designated for contract repair and service). In the absence of the Service Manager/Maintenance Superintendent, the Assistant Service Manager supervises all maintenance employees and reports to the Property Manager.

Responsibilities

  • Assist in training and be responsible for work performed by all staff members under your direction.
  • Establish schedules and assign personnel routine maintenance tasks.
  • Participate in an emergency “on-call” rotation to respond to emergency work orders and inclement weather situations.
  • Perform all duties with the highest consideration for safety, and train staff to do the same.
  • Continually inspect buildings, grounds, and common areas to identify needed preventative maintenance, ensure cleanliness, and address safety hazards.
  • Maintain a clean, safe, and well-organized shop and equipment storage area in compliance with all OSHA regulations, including Hazard Communication Program, MSDS, and required postings.
  • Perform maintenance and repairs per written work orders, striving to complete them within 24 hours.
  • Prepare vacant apartments for occupancy following Drucker + Falk guidelines.
  • Schedule contractors for maintenance-related work, secure bids, and proposals as directed.
  • Complete all duties and maintain records as required.
  • Use contract labor when cost-effective, following approval by the Service Manager, Property Manager, or Regional Property Manager.
  • Strictly follow established budgetary guidelines and purchasing directives.
  • Maintain operating manuals, warranty records, and materials related to inventory and parts replacement.
  • Stay updated on developments in the field, including new products and cost-effective repair methods.
  • Maintain the highest standards of resident relations.
  • Assist the Service Manager in completing Monthly Preventative Maintenance Sheets.
  • Monitor all Operations & Maintenance (O & M) Programs (e.g., Asbestos, Lead-Based Paint, Mold & Fungi) to ensure compliance and proper handling when work may disturb these substances.
  • Maintain all record-keeping and reports related to O&M programs to ensure full compliance.
  • Perform other duties as assigned.

Supervisory Responsibilities

Assist in managing 0-8 employees in the absence of the Service Manager. Responsible for the overall direction, coordination, and evaluation of these employees in accordance with organizational policies and applicable laws.

Work Environment

The employee is regularly exposed to moving mechanical parts, toxic or caustic chemicals, and outdoor weather conditions. The role may also involve exposure to electrical shock risks, wet/humid conditions, high places, fumes, extreme temperatures, and vibration. The noise level in the work environment is usually moderate.

Requirements

  • High school diploma or GED; or equivalent combination of education and experience.
  • One to three months of related experience and/or training.
  • Strong HVAC skills with CFC certification required.
  • CPO certification.
  • Proficiency in plumbing, electrical, and carpentry.
  • Knowledge of SDS and OSHA regulations.
  • Current driver’s license.
