Responsibilities
- Aid Project Managers in daily project management.
- Prepare and maintain project documentation including change orders, RFI’s, submittals, etc.
- Coordinate with Owners, Architects, Engineers, Consultants, and subcontractors.
- Attend project meetings and distribute meeting minutes.
- Maintain project files in Procore (or similar software).
- Assist in weekly job progress reports to stakeholders.
- Track permits, inspections, and project documentation.
- Assist in preparing subcontract agreements and issuing purchase orders.
- Process subcontractor pay applications and review lien waivers and insurance certificates.
- Track contract compliance and assist with project buyout.
- Assist in preparing project budgets and monitoring project costs.
- Track pending change orders and prepare change orders for Owner and subcontractors.
- Prepare monthly cost projections and maintain accurate budget reports.
- Aid in maintaining project schedules and coordinating procurement activities.
- Track long-lead materials and help identify schedule impacts.
- Coordinate deliveries with field personnel and support quality control efforts.
- Work closely with Superintendents and assist with preconstruction meetings.
- Coordinate subcontractor activities as needed and track punch list completion.
- Assist with assembling O&M manuals, obtaining final inspections, and tracking final lien releases.
- Support Owner turnover packages.
Qualifications
Desired qualifications include:
- Construction background preferred but not required.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office and Procore (or similar project management software).
- Ability to manage multiple tasks and prioritize effectively.
- Experience with contract administration and cost control.
- Knowledge of construction industry practices and regulations.
