The Assistant Community Manager works closely with the Community Manager to ensure the smooth operation of the property and acts as the Community Manager in their absence. This role is responsible for computing, classifying, and recording numerical data to maintain complete financial records while assisting with leasing, marketing, and resident relations.

Responsibilities
- Assist in preparing advertising materials and showing units to prospective residents.
- Maintain records of rental levels for comparable units in the surrounding area.
- Present creative leasing and marketing ideas.
- Greet prospects, qualify applicants, and process applications (credit checks, rental history, etc.).
- Update availability reports and submit processed applications to the Community Manager for approval.
- Monitor and distribute renewal notices, and follow up on renewals.
- Accept rental payments and deliver them to the Community Manager.
- Type leases, complete paperwork, and input information into the Yardi system accurately and promptly.
- Prepare and maintain complete resident files, late notices, and notices to pay rent.
- Assist in rent collection, lease preparation, signing, and administration.
- Operate accounting software to record, store, and analyze financial information.
- Understand the Apartment Association lease and contracted credit report application.
- Verify accuracy of invoices, ensure proper coding, and process payments promptly.
- Handle maintenance service requests, follow up with residents, and ensure repairs are completed satisfactorily.
- Maintain open communication with the Community Manager and Maintenance Supervisor.
- Contribute to the community’s cleanliness and curb appeal.
- Enforce community policies and diffuse customer concerns to avoid escalation.
- Assist with legal proceedings and other tasks as required by the management team.
Requirements
- Fair Housing Certification or willingness to obtain it before interacting with prospective residents.
- Strong oral and written communication skills in English; bilingual in Spanish is a plus.
- Positive attitude and ability to maintain professionalism under all circumstances.
- Valid driver’s license with a good driving record and auto insurance.
- Ability to work most weekends.
- Apartment management experience preferred.
- Neat, clean, and professional appearance at all times.
- High school diploma or equivalent; 2+ years of college preferred.
- Ability to diffuse and respond to customer concerns effectively.
Skills & Abilities
- Proficiency in accounting software and property management systems (e.g., Yardi).
- Strong organizational and multitasking skills.
- Ability to work collaboratively in a team environment.
- Knowledge of Fair Housing laws and regulations.
Physical Requirements
- Ability to sit, stand, climb, stoop, and remain at a desk for up to 8+ hours.
- Ability to walk the property for up to 8+ hours in various weather conditions.
- Ability to climb stairs for property showings.
- Ability to lift up to 30 lbs. as needed.
