Job Summary: The Asset Operations Specialist provides administrative and operational support for fleet, equipment, and asset management activities across the West Region. Responsible for coordinating equipment logistics, maintaining accurate fleet records, supporting compliance requirements, and serving as a key liaison between operations, vendors, drivers, and project teams to ensure efficient asset utilization and fleet performance. This is an entry-level administrative role, ideal for someone who wants to build a long-term career in asset and operations support within AIS Infrastructure. Verify and ensure all West Region weekly timecards are accurately completed, submitted, and uploaded.Monitor and maintain accurate E360 records for maintenance and repair activities, including work performed, parts usage, equipment status, and proper work order closure.Coordinate equipment setup requests for the assigned region of responsibility.Process equipment relocation requests and driver assignment changes.Serve as the primary point of contact (POC) for invoice discrepancies and resolution efforts.Assist shop personnel with corporate credit card reporting and related administrative needs.Maintain accurate and up-to-date equipment inventory records.Serve as the POC for vehicle tags, registrations, insurance documentation, and related compliance requirements.Assist with identifying vendor resources, applications, and available discount programs.Coordinate the shipment and transportation of equipment, parts, and materials.Ensure all new and transferred vehicles have the required documentation and assets, including registration, license plates, toll transponders, and insurance information.Coordinate third-party haulers and transportation providers for equipment and parts as needed.Track and follow up on vehicle recalls, damage reports, traffic citations, toll transponder issues, and driver action items to ensure timely resolution.Provide equipment specifications and asset information to project teams and operational stakeholders.Assist with coordinating rental vehicles and related logistics as needed.Perform other duties and special projects as assigned. Preferred Requirements and Education: High school diploma or equivalent (associate's degree preferred).2+ years of experience in an administrative support role (construction or industrial services industry experience is a plus).Equipment dealer experience in Telematics, and service work order reviews (preferred).Experience using Vista Viewpoint (preferred).Equipment 360 & dispatch experience (preferred).
