Area Coordinator

Under direct supervision, the Administrative Assistant III - Area Coordinator performs journey-level administrative duties and technical program assistance work to support operations of the unit. This includes establishing, tracking, and maintaining internal record-keeping systems, ensuring all files are accurate, up-to-date, and securely stored. The role serves as a key point of contact by communicating professionally with the public, internal staff, government agencies, and private organizations. Work involves organizing meetings, handling travel arrangements, maintaining filing systems, and providing administrative support. This position requires regular attendance, does not involve remote or telework, and follows normal working hours.
Responsibilities
- Establish, track, and maintain internal record-keeping systems, ensuring all files are accurate, up-to-date, and securely stored (20%).
- Serve as a key point of contact by communicating professionally and effectively with the public, internal staff, government agencies, and private organizations. Provide timely responses to inquiries regarding agency rules, regulations, policies, and procedures (15%).
- Obtain equipment, services, and supplies needed by the department by maintaining an inventory of office supplies, furniture, and equipment. Determine the appropriate method to pay for goods or services following policy and procedures (15%).
- Organize and coordinate meetings, conferences, and seminars by scheduling, preparing agendas, arranging logistics, and ensuring all necessary materials are available. Handle travel arrangements, requests, and vouchers for reimbursement (15%).
- Gather, review, and analyze documents and data to provide technical assistance and administrative support. Prepare and route reports and forms for approval. Compile and review studies and other documents to ensure quality, accuracy, and compliance with facility and department guidelines (15%).
- Maintain structured and efficient filing systems to support easy retrieval and secure storage of documents. Manage incoming and outgoing communications, coordinate workflow between organizational units, and ensure the office environment remains organized and functional (15%).
- Actively participate in disaster response, recovery, or Continuity of Operations (COOP) activation as required, which may involve alternate shift patterns or locations (5%).
- Perform other duties as assigned.
Requirements
- At least two (2) years of experience in a professional support role.
- At least three (3) years of experience working with Microsoft products such as Outlook, Excel, Word, and PowerPoint.
- Knowledge of office practices and administrative procedures, business English, spelling, grammar, and state travel policy.
- Knowledge of record-keeping and filing systems, including HIPAA laws.
- Skilled in written and verbal communications, proofreading, editing, timekeeping, and Microsoft Office products.
- Ability to implement and evaluate administrative procedures, interpret rules and regulations, and communicate effectively.
- Ability to work independently and as part of a team, manage multiple projects, and maintain confidentiality.

Pay
Salary Range: $3,101.00 - $4,365.66 per month.
Schedule
- Full-time, regular position.
- Shift: Day (First shift).
- Travel: Up to 5%.
- Overtime and extended hours may be required.
- Flexibility in work hours may be required.
Additional Information
- Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks (e.g., Client Abuse/Neglect Reporting System, Nurse Aide Registry).
