Area Business Analyst (Mid-Atlantic Area)
About the role
The Regional Administrator and Business Analyst (RBA) ensures that all region employees are properly trained in all Regional/Branch processes and procedures to effectively execute their job responsibilities consistently throughout the Region. The RBA is responsible for managing regional programs, projects, system roll outs and process changes throughout the region. Provides support to the Regional President with meetings, presentations and interacting with internal and external customers.
Responsibilities
- Function as the primary contact for management, end-users and programming staff on all issues related to the Operations system, any/all new system roll-out and implementation and solve problems associated with any system implementations across all branches
- Completes a broad variety of executive support for the Region President including managing calendar meetings; completing expense reports; composing and preparing correspondence; managing complex and detailed travel plans, itineraries and agendas and preparing presentations and documents for meetings
- Provide functional expertise and consultation to the users
- Serve as the escalation for the branches when help and clarification on processes and procedures, as needed
- Assist/Manage/Train/Develop Branch Admin Staff and new employees
- Create and update business process documents and maintain documentation and lessons learned, best practices, and quality improvement documentation
- Communicates between Shared Services and the branches to ensure that proper processes are being followed and function efficiently throughout the region
- Provides the following program and reporting support:
- Reviews/manages headcount report monthly and manages changes as needed via reporting for direct employees
- Maintains region organizational charts monthly for all internal moves & and external replacements
- Reviewing and analyze branch compliance towards service excellence goals through regular audits of Sales/Customer tracking Systems & Tools (such as customer visitations, quality audits, capital planning, TK Extend, expired opportunities and pipeline management)
- May also manage on hold reports, retrofits and inventory control
- Analyze and prepare forecasts for booking and quoting activity. Includes reviewing sales reports; identify top and under performers
- Managing monthly reporting including consolidation and reconciliation of Growth Report to verify booking and jobs cancelled ensuring risk or loss cases created/assist with submission; regrading retrofit; consolidated risk reports
- Support Branch Managers with analyzing, capturing/communicating quarterly sales performance by tracking and maintaining the sales matrix
- Reviews Profit and Loss, budget and other financial reports to monitor performance within the region to ensure monthly goals are met or exceeded and cancellations are controlled
- Oversite and management in reviewing/auditing the fleet report, review inappropriate use and escalate
- Overseeing and auditing the dispatching of dispatching notes Assist with Inventory, as well as submission of updating the ledger
- Oversee and audit the mass escalation report on an annual basis assist Branch with updating their contractual billing rates
- Coordinator for college recruiting program and serve as the liaison with Talent Acquisition team, college career placement office, business captains, and students who are candidates
- Works with Human Resources and Regional Leadership to help organize/facilitate consistent onboarding and evaluation of region Sales and Operations Trainees
- Aid Shared Services with payroll, extra billing, repair backlog/billing and other issues to meet the demands of the Shared Service Center, as needed
- Managing customer and vendor relations including managing local community outreach initiatives and engagement activities
Requirements
Education & Experience: Bachelor’s Degree preferred and 5 years related experience working in executive/office management; or an equivalent combination of education and work experience. Advanced skills in MS Excel, Access and PowerPoint, with the ability to build, modify and manipulate complex spreadsheets and databases. Experience with a customer relationship management tool is preferred. Excellent verbal and written communication skills. Ability to work independently and multi-task with limited supervision.
