AP/AR Specialist

Please note this is a part-time opportunity. 3 days on site either Monday-Wednesday or Tuesday-Thursday We are looking for an AP/AR Specialist to join the finance team in New York, New York and help maintain accurate, timely day-to-day accounting operations. This role will manage both payables and receivables, support monthly close activities, and coordinate with internal teams as well as external vendors and customers to resolve account questions. The ideal candidate brings strong bookkeeping knowledge, sound judgment, and the ability to stay organized while balancing multiple deadlines in a fast-paced environment. Responsibilities:• Manage the full cycle of accounts payable by reviewing vendor invoices, verifying supporting documentation, assigning proper general ledger coding, and preparing items for payment.• Prepare and distribute customer invoices, monitor aging reports, and follow up professionally on past-due balances to support steady cash collection.• Post incoming receipts, apply payments accurately to open items, and record deposits in a timely manner to keep accounts current.• Examine employee reimbursement submissions and corporate card activity for accuracy, policy compliance, and appropriate documentation before processing.• Partner with vendors, customers, and internal departments to investigate discrepancies, answer payment-related questions, and resolve accounting issues efficiently.• Assist with month-end close by entering journal entries and reconciling balance sheet and income statement accounts to supporting schedules.• Provide administrative and clerical support to the finance function, helping maintain organized records and dependable bookkeeping processes.• Research accounting questions and analyze information from multiple sources to recommend practical solutions when issues affect financial operations or deadlines. • Bachelor’s degree in Accounting. • At least 5 years of experience in an accounting or finance support role with hands-on exposure to both accounts payable and accounts receivable activities. • Working knowledge of bookkeeping practices, account reconciliations, and accounting workflows within a detail-oriented finance environment. • Proficiency with Microsoft Office applications; experience with accounting platforms such as QuickBooks is valuable, and familiarity with NetSuite is a plus. • Strong organizational skills with the ability to manage competing priorities, meet deadlines, and maintain accuracy under pressure. • Effective written and verbal communication skills, along with a collaborative approach to working with employees, department leaders, vendors, and customers. • Solid customer service and interpersonal skills, as well as flexibility, reliability, and comfort using standard office systems and equipment. • Commitment to teamwork and fostering an inclusive workplace that values diversity.
