About the role
The Athletic Secretary will facilitate the efficient operation of the athletic department by assisting the athletic director with planning and implementing all athletic functions within the district through the provision of clerical services to the athletic director and other staff members. Supervises/Coordinates with Coaches, Athletics Coordinators, parents, student-athletes, NHIAA officials, school staff and others.
Qualifications
- High School Diploma or GED with 2-3 years secretarial experience, preferably in a college or school athletic office or a public school setting.
- Proficient skills in Microsoft Office; word processing, database, and Excel spreadsheets.
- Excellent organizational, interpersonal, verbal and written communication skills.
- Mandatory mathematical ability to calculate stipend structures or work with department expenditures.
- Must be able to multi-task and prioritize projects with daily responsibilities.
Responsibilities
- Prepare and maintain multiple financial records and assist with budgets for all athletic programs.
- Initiate purchase orders and check requests.
- Absorb and audit cash boxes for all athletic events.
- Assist in securing workers for all athletic events as needed and in the accounting of ticket sales for athletic events.
- Handle questions from parents, general public, teachers, counselors, students, and administrators concerning all sports activities.
- Answer and screen incoming calls, initiate calls as necessary and follow up to resolution.
- Maintain office files and record including confidential student and coach files.
- Process registrations and verify eligibility for all student athletes.
- Maintain accurate records relative to Athletic User Fees.
- Prepare Athletic Awards at the conclusion of each season and coordinate coach payments as scheduled.
- Assist in the organization and scheduling of athletic events.
- Manage transportation for athletic events, contests including following up, confirming drivers and ensuring payment of invoicing.
- Submit required documentation and reporting to the NHIAA prior to published deadlines.
- Analyze and produce reporting that are requested and standard reporting that is expected.
- Perform other duties relative to this position as directed by the Athletic Director.
Pay
$21.18 per hour, Benefits per Union Contract
