Maintain Ledger and Activity Account Records

The athletic secretary is responsible for maintaining ledger and all activity account records in accordance with Board Policy and state law.

Monthly and Annual Summaries

Provide monthly and annual summary of activity fund to the Athletic Director and the Chief Financial Officer.

Purchase Order Management

  • Maintain purchase order log
  • Type purchase orders
  • Affirm adherence to activity account purchasing procedures

Financial Processing

  • Process checks for payment of invoices
  • Maintain checkbook
  • Process district requisitions and maintain purchase orders

Sales and Distribution

  • Work with the Athletic Director on current and following year budgets
  • Responsible for sales and distribution of school fundraisers
  • Receive all monies from coaches and balance all accounts by keeping all financial records current and ready for audit on short notice

Computer Skills

  • Experience with computer programs, Microsoft Office
  • Ten-key
  • Copiers

Language and Grammar Skills

Ability to read and comprehend simple instructions, short correspondence and memos. Ability to compose and write grammatically correct correspondence and memos.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, schedule form, or blueprint form.

Physical Demands

  • Regularly required to use hands to finger, handle, or feel objects, tools, or controls
  • Reach with hands and arms
  • Regularly required to stand, walk, climb or balance, and stoop, kneel, crouch, or crawl
  • Frequently lift and/or move up to 100 pounds, frequently lift and/or move more than 100 pounds, and frequently lift and/or move up to 50 pounds

Work Environment

  • Regularly exposed to fume or airborne particles
  • Frequent exposure to high, precarious places and in outside weather conditions
  • Frequent exposure to moving mechanical parts, extreme cold (including outdoors), extreme heat (including direct sunlight), risk of electrical shock and vibration
  • Varying noise levels in the work environment

Supervisory Responsibilities

Employee may occasionally be required to supervise a varying number of employees in the overall direction, coordination, and completion of tasks as assigned.
