Primary Responsibilities
- Initiate new projects within Oracle, ensuring the accurate entry and maintenance of project descriptions, budget codes, budget identifiers, team member assignments, tasks, resources, forecasts, attachments, and baseline budgets.
- Maintain project records and ensure the integrity and accuracy of project-related data within Oracle.
- Develop, maintain, and generate comprehensive project reports to support management decision-making and operational efficiency.
- Prepare and submit material and service requisitions in accordance with corporate procurement policies and procedures.
- Serve as a liaison between Project Management and Accounts Payable to facilitate accurate and timely invoice processing.
- Aid with invoice processing, work order preparation, and contract administration activities.
- Generate ad hoc financial, cost, and project status reports as requested.
- Review project cost reports for discrepancies and coordinate with Property Accounting and other stakeholders to resolve issues.
- Provide administrative support to the Director of Field Engineering and other department leaders, including scheduling meetings, preparing correspondence, and maintaining documentation.
- Create and maintain professional presentations, reports, and communication materials using Microsoft Office applications.
- Cook up departmental information flow, including communications, meetings, teleconferences, mail distribution, and document management.
- Maintain departmental records, organizational charts, employee and contractor contact lists, and emergency contact information.
- Maintain and update office floor plans and coordinate facility-related issues with Building Management.
- Support special projects and perform other administrative and analytical duties as assigned.
Minimum Qualifications
- A high school diploma or GED is required.
- An associate's or bachelor's degree in Business Administration, Project Management, Finance, or a related field is preferred.
- Experience providing administrative, project coordination, or project analyst support is required.
- Strong interpersonal, verbal, and written communication skills are essential.
- The ability to communicate professionally and effectively with internal and external stakeholders is crucial.
- Exceptional organizational skills with an eye for detail are necessary.
- The ability to prioritize workload, manage multiple tasks, and meet deadlines in a fast-paced environment is important.
- A self-motivated individual who can work independently and exercise sound judgment is required.
- A demonstrated sense of urgency, accountability, and responsiveness is expected.
- The ability to maintain confidentiality and handle sensitive information appropriately is necessary.
- Familiarity with the energy midstream industry is preferred.
Technical Qualifications
- Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, PowerPoint, and Adobe Acrobat.
- Experience with Oracle project, financial, or invoice management systems is preferred.
- Experience creating reports, analyzing project data, and maintaining project documentation is preferred.
- Working knowledge of Microsoft Visio and Microsoft Project is preferred.
