About the Role

We are looking for an Air Export Specialist III to join our dynamic team. In this role, you will handle daily freight forwarding operations, including customer service, shipment tracking, document handling, and regulatory compliance. You will plan and schedule appropriate services to balance customer service and shipment costs, develop a thorough understanding of clients’ shipping requirements, and support growth within your position.

Responsibilities

  • Enter transportation data to meet regulatory and tracking requirements.
  • Ensure regulatory requirements are met and proper documentation (transit and customs clearance) exists for shipments.
  • Accurately process, distribute, and release documentation to carriers, forwarders, customers, and agents in a timely manner.
  • Complete data entry and confirmation of key milestones (departure, arrival, customs clearance, PODs) as specified by customer standard operating procedures.
  • Negotiate shipping rates and submit them to local management for approval.
  • Complete accurate billing based on established pricing while maintaining appropriate costs and profits.
  • Use knowledge of Incoterms and commercial invoice requirements to support customer needs.
  • Develop methods and procedures for transporting commodities from local or offshore locations to warehouses or final consignee locations.
  • Arrange the transfer and delivery of shipments with appropriate partners.
  • Prepare timely shipment management reports as requested or specified per department KPIs.
  • Manage import needs for larger or more complex key accounts or specialized services for multiple customers.
  • Arrange inbound bonded movement of cargo.
  • Assist in training new employees.
  • Develop and maintain relationships with customers, government agencies, and local vendors (e.g., airline representatives, freight forwarders, custom brokers, local pickup/delivery companies).
  • Participate as an effective team member in a fast-paced environment.
  • Maintain courteous, prompt, and efficient customer relations.
  • Comply with procedures to ensure a clean, organized, safe, and healthy work environment.

Requirements

  • Minimum 8 years of experience in Import operations with an international freight forwarder.
  • Knowledgeable in all facets of air and ocean imports.
  • Understanding of applicable state, federal, and international laws and regulations (e.g., customs, security, air, ocean, domestic trucking, intermodal).
  • Willingness to support and train junior operators.
  • Experience using logistics software (CargoWise is a strong plus).
  • Excellent customer service and communication skills (verbal, written, and interpersonal).
  • Competent math skills using units of currency, weight, volume, and distance measurements.
  • Ability to work independently or as part of a team.
  • Proficiency in PC, spreadsheets, and database applications (including Microsoft Office Suite).
  • High school diploma or equivalent.
  • Air and ocean import process and regulations experience.
  • Ability to work in a paperless environment.

Physical Requirements

  • Performed indoors in a traditional office setting with extended periods of sitting while working at a computer.
  • Occasional fast-paced operations and events.
  • Occasionally required to stand, walk, sit, and reach with hands and arms.
  • Specific vision abilities include close vision, distance vision, and the ability to adjust focus.
  • Ability to communicate orally with customers, vendors, management, and co-workers via telephone, virtual meetings, and email.
  • Good manual dexterity for using common office equipment (computers, calculators, copiers).
  • Regularly required to sit, handle, use hands to grasp, or feel and operate a computer keyboard, mouse, and telephone keypad.
