About the Role

The After School & Day Camp Coordinator supports the daily operations of the After School Enrichment Program and Day Camp at the Santa Monica Family YMCA. This role serves as a leader to group leaders, counselors, and program participants, supports staff in planning and implementing high-quality curriculum and program activities, engages families, and acts as a liaison to school personnel.

Responsibilities

  • Plan, develop, implement, and evaluate programs to ensure quality, effectiveness, and compliance with YMCA standards, policies, goals, and objectives.
  • Develop program schedules, lesson plans, activities, transportation plans, and other operational materials necessary for successful program delivery.
  • Maintain accurate program records, including registrations, rosters, attendance, staff-to-participant ratios, schedules, forms, and other required documentation.
  • Coordinate transportation needs, including student pick-up schedules, driver routes, vehicle readiness, and driving responsibilities as needed.
  • Assist with the management of agency vehicles, including checking driver checklists, ensuring vans are safe, clean, and maintained. Communicate any issues or necessary repairs to the Youth Development Director.
  • Maintain appropriate program supplies, equipment, facilities, and vehicles to ensure they are clean, safe, organized, properly stocked, and in good working condition.
  • Recruit, onboard, train, schedule, supervise, mentor, and evaluate program staff and volunteers in accordance with YMCA policies and procedures.
  • Maintain accurate and current staff and volunteer records, including personnel documentation, required certifications, safety training, and annual training requirements.
  • Conduct regular staff meetings, trainings, and ongoing coaching to support staff development, accountability, safety, and program quality.
  • Ensure compliance with YMCA safety and risk-management procedures, including appropriate supervision, required staff certifications, facility and equipment inspections, and timely completion and review of incident reports.
  • Support the planning and implementation of YMCA special events, programs, and community engagement activities.
  • Assist with the marketing and promotion of programs and maintain brochures, handbooks, forms, flyers, online program information, and other materials in accordance with YMCA brand standards.
  • Communicate effectively and professionally with participants, families, members, staff, volunteers, drivers, and other departments regarding programs, schedules, cancellations, events, concerns, and operational needs.
  • Respond to participant and parent concerns or disputes professionally, ensuring appropriate documentation, communication, and timely follow-through.
  • Model YMCA standards of professionalism through appropriate attire, identification, dependability, teamwork, positive interactions, and a proactive approach to serving members and participants.
  • Participate in ongoing professional development and demonstrate a commitment to continuous learning and improvement.
  • Perform other duties and assume additional responsibilities as assigned in support of YMCA programs and operations.

Requirements

  • Must be 21+ years of age.
  • Valid driver's license and clean driving record.
  • High school graduate or equivalent; one year or more of college preferred.
  • 1-2 years of previous experience working in a day camp or after school setting as a counselor, lead counselor, or program leader, or have experience working with youth.
  • A minimum of two years of supervisory experience is required.
  • Previous YMCA program experience preferred.
  • Excellent written and verbal communication skills to work cohesively with parents, participants, and staff.
  • Computer skills and working knowledge of Excel, Word, and Google Workspace.
  • Good record-keeping skills.
  • Ability to handle multiple responsibilities and meet deadlines.
  • Previous experience with diverse populations is preferred.
  • CPR/AED and First Aid Certification (must include Adult and Child/Infant) obtained within 30 days of hire from one of the following certifying organizations:
    • American Red Cross
    • American Heart Association
    • American Safety & Health Institute
